Project Activity Task Definition – A Summary of the Activity
Through this activity the project manager/ program manager/ team leader can define the following key details of a project:
4 The activity and task
4 Whether the activity-task is billable or not
4 Whether the project is onsite or offshore
4 Whether the activity-task definition is applicable for all the employees or not
You are allowed to edit/delete the project-activity-task definition only if the details are not used in the time entry.

Defining Project Activity Task
ØSelect the “Project Activity Task Definition” activity under “Time sheet Billing and Administration”.
The “Project Activity Task Definition” page appears.
ØEnter the following field details in the header:
Organization Unit |
From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory. |
ØThe system displays the following in the header:
Date Format |
The date format that is applicable to the login user. |
To define project activity task
ØEnter the following in the header:
Project |
From the drop-down list box, select the required project. The system loads all the projects which are mapped to the logged in user/manager. Mandatory. |
Milestone Description |
The milestone description combo is loaded with values when the project is of billing rule milestone. From the drop-down list box, select the required option. The combo is loaded with various options for you to choose. |
Schedule Description |
The schedule description combo is loaded with values on selecting the value from milestone description combo. Note: · When “All” option is selected from the “Milestone Description” combo then Schedule Description combo is loaded with all the values. · For milestone project, project activity task definition can be done only when milestone billing schedule is defined. · The Activity and Task combination is unique to milestone schedule combination meaning an activity and task defined under one milestone schedule combination cannot repeat under any other milestone schedule in the same project. This validation is across OU for the project. |

For milestone projects, the related milestone description against which the project activity task definition is done is displayed. |
Schedule Description |
For milestone projects, the related schedule description against which the project activity task definition is done is displayed. |
Activity/Process/Transaction |
From the drop-down list box select the activity/process/transaction (defined in user defined quick codes) which is loaded on clicking “Get” push button. Activity is loaded for project codes whose billing rule is other than output based. For output based projects, process transaction unit is loaded. Mandatory. |
Task |
The task assigned against the activity. Note: The task must be mapped to only one activity for a specific period. Mandatory. |
Task Description |
The description of the task. Mandatory. |
From Date |
The start date of the task. This date must be the same as or greater than the project effective start date. Mandatory. |
To Date |
The end date of the task. This date must be the same as or less than the project effective end date. |
Billable (Y/N) |
From the drop-down list box, select any one of the following options. Mandatory. 4 “Yes” indicates that the activity-task is billable 4 “No” indicates that the activity-task is not billable |
Site |
From the drop-down list box, select the required option. The combo is loaded with the values “Onsite”, “Offshore” and “Onshore” for you to choose. Mandatory. 4 “Onsite” indicates that the task is done onsite 4 “Offshore” indicates that the task is done offshore 4 “Onshore” indicates that the task is done onshore Note: The system loads the drop-down list box with the values defined in “Additional Masters”. |
Applicable for All |
From the drop-down list box, select the required option. The combo is loaded with the values “Restrict to Creation OU” and “Copy to all Execution OU” for you to choose. Mandatory. 4 “Restrict to Creation OU” indicates that the project, activity, task definition is applicable only for the login OU or the creation OU. 4 “Copy to all Execution OU” indicates that the project, activity, task definition needs to be replicated to all the applicable OU available in project execution. |
To retrieve/edit/delete the project activity task definition details
ØSelect the project from the Project drop-down list box and click on the “Get” pushbutton.
The system displays the following details applicable to the project selected in the multiline:
Activity/Process/Transaction, Task, Task Description, From Date, To Date, Billable, Site, Applicable For All. Multiplication Factor.

ØEnter the following search criteria:
Activity/Process/Transaction |
From the drop-down list box select the activity for which you require to view project activity task mapping. |
Task Code |
From the drop-down list box, select the task code to retrieve the project activity task mapping of the specific task. |
Task Description |
To view all the task description containing specific characters, type in the starting character or characters of the task description in any combination with wild card “*”. |
ØClick “Search” pushbutton.
The system displays the following details in the multiline based on the search criteria:
Activity/Process/Transaction, Task, Task Description, From Date, To Date, Billable, Site, Applicable For All, Multiplication Factor.
ØEdit or delete the details, if required.
Note: You are allowed to edit/delete the project-activity-task definition only if the details are not used in the time entry.
ØClick “Save” pushbutton to save the details entered.
On saving, based on the value selected for “Applicable for All” combo, the task-activity combination would either be available only in creation OU or made available in all execution OU.
