Invoice Simulation – A Summary of the Activity
This activity can be used by the user who is mapped to the consolidator or PMO role. The consolidator can simulate whether the entries selected for invoicing is matching the customer’s expectations and as per the SOW agreed. The system fetches the records selected for invoicing for a combination of Project code – SOW Id – Date Range Year – Process Id combination. The invoice is generated on receiving confirmation from the customer. All invoices can be raised in invoice currency.

Invoice Simulation
ØSelect the “Invoice Simulation” activity under “Time Sheet Billing and Administration” business component.
The “Invoice Simulation” page appears.
Pre-requisites:
The following are the pre-requisites:
4 Rate card to be defined
4 Timesheet consolidation should be confirmed for projects whose billing rule is Role based, Employee Specific, Flat Fee Apportioned or Output based T&M
4 Cost center cost element mapping should have been defined
4 Usage Ids should have been defined
ØEnter the following field details in the header:
Organization Unit |
From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory. |
ØThe system displays the following in the header:
Date Format |
The date format that is applicable to the login user. Note: All dates must be entered in the format displayed. |
ØEnter the following field details:
Customer Code |
From the drop-down list box, select the code identifying the customer unit for which invoice details must be generated. Mandatory. |
The system displays the following on selecting the customer code:
Customer Name |
The name of the customer. |
ØEnter the following field details:
For Month – Year |
From the drop-down list box, select the month and year for which the invoice details must be generated. Mandatory. |
ØClick “Show Existing Invoice Period No Details” to view the existing invoice period number details.
ØEnter the following field details under “Invoice Criteria” group box:
Invoice Generation Level |
From the drop-down list box, select the level of the invoice generation. The combo is loaded with the options “Customer”, “SOW” and “Project”. Mandatory. |
Billing Rule |
The projects billing rule is selected. From the drop-down list box, select the required billing rule. The combo is loaded with customer projects billing rules for you to choose. Mandatory. |
PO/SOW Currency |
From the drop-down list box, select the currency. |
Invoice Period No. |
The number identifying the invoice period. |
Invoice From Date |
The date from which the invoice is generated. Mandatory. Note: The “Invoice From Date” should fall in the “For Month – Year” selected. |
Invoice To Date |
The date till which the invoice is generated. Mandatory. |
From SOW ID |
The statement of work identifier from which the invoice details must be generated. Help facility available |
To SOW ID |
The statement of work identifier until which the invoice details must be generated. Help facility available |
From Project Code |
The code identifying the project from which the invoice details must be generated. Help facility available |
To Project Code |
The code identifying the project until which the invoice details must be generated. Help facility available |
ØClick “Get Details” pushbutton to retrieve the search results in the multiline.
ØEnter the following field details in the “Invoice Details” group box:
Finance Book |
From the drop-down list box, select the finance book in which the invoice posting is to be made. All the finance books that have been mapped to the login organization unit - login user will be available for selection in the ascending order if postings can be made in multiple finance books. Mandatory. |
Usage Id |
From the drop-down list box, select the required usage id. The combo is loaded with various options for you to choose. Mandatory. |
Posting Date |
Enter the posting date. Mandatory. |
Invoice Currency |
From the drop-down list box, select the invoice currency. The combo is loaded with various currency options for you to choose. Note: This is the currency in which invoice is generated. It can be different from that of PO/SOW currency. |
The system displays the following on selecting the customer code in the header:
Billing Address |
The default bill to id from customer master is displayed. |
Tab – Timesheet Details
The system displays the following in the “Timesheet Details” multiline:
Invoice Period No |
The invoice period number. |
Invoice From Date |
The date from which the invoice is generated. |
Invoice To Date |
The date till which the invoice is generated. |
SOW ID |
The statement of work identifier. |
Project Code |
The code identifying the project. |
Project Description |
The description of the project. |
Billing Rule |
The project’s billing rule is displayed. |
Source OU |
The source organization unit of the timesheet. |
Employee Code |
The code identifying the employee. |
Employee Name |
The name of the employee. |
Role/Process |
The role/process of the employee. Note: For output based projects, process is displayed. |
Site |
The site (Onsite/Offshore/Onshore) of the employee. |
Rate Card Location |
The rate card location of the employee. Note: This would signify whether location specific rate card or common rate card is used. |
Total Invoiced Units |
The total number of timesheet hours/units invoiced against the project. Note: For output based, units is displayed and for other projects, hours booked converted in rate UOM is displayed. |
UOM |
The unit of measurement of the invoiced units. |
Rate |
The rate is displayed. |
Total Number of Working Days |
The total number of days worked by the employee. |
SOW Currency |
The currency of the statement of work. |
Amount in PO/ SOW Currency |
The invoice amount is displayed in PO/SOW currency. |
Amount in Invoice Currency |
The invoice amount in PO/SOW currency is converted to invoice currency and displayed. |
Invoice No |
The number identifying the invoice. This appears after invoice is generated against the line. |
Invoice Date |
The date on which the invoice is generated. |
Timesheet Invoice Amount |
The total invoice amount before TCD is displayed in this column after invoice generation. |
Invoice Amount |
The total invoice amount + TCD added in Finance Invoice screen is displayed. |
Usage Id |
The usage id. The usage id selected under “Invoice Details” group gets defaulted here on save. Note: You are allowed to select the usage id from this combo at line level before invoice generation. |
ØEnter the following field in the “Timesheet Details” multiline:
Remarks |
Any remarks or additional information regarding the invoice details. |
ØClick “Save” pushbutton to save the invoice details. The system saves the invoice details.
ØClick “Generate Invoice” pushbutton to generate the invoice details.
The system generates the invoice details and displays the Invoice Period No, Invoice From Date, Invoice To Date, Invoice Generation Level, SOW ID, Project Code and Project Description in the “Invoice Period No Details” multiline.
