Employee Project Assignment – A Summary of the Activity

Through this activity the supervisor of the project defined in the “Maintain Project” activity, can map his subordinates to the projects’ for a specific range of dates. The reporting manager for the employee must have been defined in the “Record Primary assignment” activity of the “Employment Information” component. Also a PMO role user can define employee project assignment for all projects.

Maintaining involves recording the project, employee name, valid mapping dates, and the supervisor mapped to the employee. The system also retrieves the details of the selected employee upon selecting the employee.

The employees project assignment thus mapped can be retrieved and viewed by following any one of the search option:

·    Quick search expedites the search, wherein you can enter the name of the project and the employee.

·    Search Criteria allows you to enter multiple search criterion based on which the employee project assignment details are retrieved.

You are allowed to edit the details and save, if required.

Maintaining Employee Project Assignment

Ø   Select the “Employee Project Assignment” activity under “Time sheet Billing and Administration”.

The “Employee Project Assignment” page appears.

Ø   Enter the following field details in the header:

Organization Unit

From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory.

Ø   The system displays the following in the header:

Date Format

The date format that is applicable to the login user.

To map a project to employees

Ø   Enter the following field details in the multiline:

Project

From the drop-down list box, select the required project. The combo is loaded with various options for you to choose. Mandatory.

Employee Code

The unique code of the employee. Mandatory.

Help facility available

The system displays the following on selecting the employee code in the multiline:

Employee Name

The name of the employee.

Position

The position held by the employee.

Department

The department to which the employee belongs.

Work Location

The work location to which the employee belongs.

To map the same dates to multiple employees

Ø   Enter the following field details in the “Default Options” multiline:

Project Execution Location

From the drop-down list box, select the required location. The combo is loaded with various work locations mapped to the project for you to choose. The system displays
"Select” by default on launch of the page.

Unit

From the drop-down list box, select the required unit. The combo is loaded with various options for you to choose.

Customer Location

From the drop-down list box, select the customer location. The combo is loaded with various locations for you to choose. Mandatory.

Note:

4      When “Get” push button is clicked, this combo is loaded with relevant project customer’s location. When directly displayed in multiline, it loads all customer locations in list edit.

4      This field is not mandatory for non T&M projects.

Mapping From Date

The date from which the project–employee mapping is applicable. Mandatory.

Mapping To Date

The date until which the project–employee mapping is applicable. Mandatory.

Ø   Click “Default From All” pushbutton.

The system defaults the value in the “Mapping From Date” and “Mapping To Date” for all the employees in the multiline.

Ø   Alternatively, enter the following field details:

Mapping From Date

The date from which the project –employee mapping is applicable. Mandatory.

Mapping To Date

The date until which the project –employee mapping is applicable. Mandatory.

Ø    Enter the following field details in the multiline:

Project Supervisor Code

The code of the supervisor of the project. Mandatory.

 

The system displays the following in multiline, on selecting the project supervisor code:

Supervisor Name

The name of the supervisor.

Ø   Enter the following field details in the multiline:

Billable

From the drop-down list box to specify whether the project assignment is billable or not. The system displays “Select”, “Yes” and “No” as options. Mandatory.

Resource Status

From the drop-down list box, select the required resource status. The combo is loaded with various options (defined in user defined quick codes) for you to choose.

Capacity

The capacity of the employee.

Role

From the drop-down list box, select the role of the employee. This should be selected as “Not Applicable” if the billing rule associated with the project is “Fixed Monthly”.

Site

From the drop-down list box, select the required site. The combo is loaded with the values “Onsite”, “Offshore” and “Onshore” for you to choose.

Allocation Percentage

The effort allocated for an employee for project, specified in percentage.

Remarks

Key in any remarks or feedback, if any.

The system displays the following in the multiline:

Already Allocated Percentage

The effort already allocated for an employee on project, specified in percentage.

Note: The employee cannot be mapped to the same project under different Project Managers for an overlapping set of dates.

Ø   Click “Save” pushbutton to save the details entered.

To retrieve the employee project assignment using quick search

Ø   Enter the following field details in the header:

Project

From the drop-down list box, select the project.

Employee

The name of the employee.

Help facility available

Ø   Click “Get” pushbutton.

The system retrieves the following field details in the multiline:

Project, Employee Name, Position, Department, Mapping From Date, Mapping To Date and Supervisor.

To retrieve the employee project assignment using multiple search criteria

Ø   Enter the following field details in the “Search Criteria” group box:

Position

To view all the position containing specific characters, type in the starting character or characters of the position in any combination with wild card “*”.

Department

To view all the department containing specific characters, type in the starting character or characters of the department in any combination with wild card “*”.

From Date

To retrieve the records with the specific Mapping From Date, enter the From date.

To Date

To retrieve the records with the specific Mapping To Date, enter the End date.

Supervisor

To view all the supervisors containing specific characters, type in the starting character or characters of the supervisor in any combination with wild card “*”.

Site

From the drop-down list box, select the required site. The combo is loaded with the values “Onsite”, “Offshore” and “Onshore” for you to choose.

The system retrieves the following field details in the multiline:

Project, Employee, Position, Department, Mapping From Date, Mapping To Date and Supervisor.
