Employee Activity Task Mapping – A Summary of the Activity
Through this activity the project manager/program manager/team leader can define the activity and task for specific employees who are mapped to project in employee project assignment. The timesheet supervisor mapped in employee project assignment (even when he is not mapped as project manager or program manager or team leader) can define activities and task for the employees for whom he is timesheet supervisor. The following are the key details that must be recorded.

4 Whether the activity-task is billable or not
4 Whether the project is onsite or offshore
You are allowed to edit/delete the employee activity task definition only if the details are not used in the time entry.

Mapping Employee Activity Task
ØSelect the “Employee Activity Task Mapping” activity under “Time sheet Billing and Administration”.
The “Employee Activity Task Mapping” page appears.
To define employee activity task mapping
ØEnter the following field details in the header:
Organization Unit |
From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory. |
ØThe system displays the following in the header:
Date Format |
The date format that is applicable to the login user. Note: All dates must be entered in the format displayed. |
ØEnter the following in the header:
Project |
From the drop-down list box, select the required project. The system loads all the projects mapped to the logged in user/manager. Mandatory. |
ØEnter the following field details in the multiline:
Employee Code |
The unique code of the employee. Mandatory. Help facility available |
ØThe system displays the following in the multiline:
Employee Name |
The name of the employee. |
ØEnter the following field details in the multiline:
Activity/Process/Transaction |
From the drop-down list box select the activity/process/transaction (defined in user defined quick codes) which is loaded on clicking “Get” push button. Activity/Process/Transaction is loaded based on what is defined for that project in Project Activity Task Definition. Activity is loaded for project codes whose billing rule is not output based. For output based projects, project transaction unit is loaded. Mandatory. |
Task Code |
The task code assigned against the activity for the selected employee. Note that the task code must be mapped to only one activity for a specific period. Mandatory. Help facility available |

The description of the task. |
Milestone Description |
For milestone project, the activity task related milestone description is displayed. |
Schedule Description |
For milestone project, the activity task related schedule description is displayed. Note: The activity task is unique for milestone-schedule combination. |
ØEnter the following field details in the multiline:
From Date |
The start date of the task. This date must be the same as or greater than the project effective start date. Mandatory. |
To Date |
The end date of the task. This date must be the same as or less than the project effective end date. |
Billable (Y/N) |
From the drop-down list box, select any one of the following options. Mandatory. 4 “Yes” indicates that the activity-task is billable for the employee 4 “No” indicates that the activity-task is not billable for the employee The system loads the drop-down list box with the values defined in “Additional Masters”. |
Site |
From the drop-down list box, select the required option. The combo is loaded with the values “Onsite”, “Offshore” and “Onshore” for you to choose. Mandatory. 4 “Onsite” indicates that the site of the employee is onsite. 4 “Offshore” indicates that the site of the employee is offshore. 4 “Onshore” indicates that the site of the employee is onshore. Note: The system loads the drop-down list box with the values defined in “Additional Masters”. |
Planned Hours |
The total hours planned for the project activity and task mapping. Ensure that the entered value is greater than or equal to zero for the employee. Note: The “Planned Hours” field is visible only if the timesheet type of system parameter is “Advanced”. |
To retrieve/edit/delete the employee activity task definition details
ØSelect the project from the Project drop-down list box in the header
ØClick “Get” pushbutton.
The system displays the following details applicable to the project selected in the multiline:
Employee Code, Employee Name, Activity/Process/Transaction, Task Code, Task Description, From Date, To Date, Billable(Y/N) and Site.

ØEnter the following search criteria:
Employee Code |
To view all the employee codes containing specific characters, type in the starting character or characters of the employee code in any combination with wild card “*”. |
Employee Name |
To view all the employee names containing specific characters, type in the starting character or characters of the employee name in any combination with wild card “*”. |
Activity/Process/Transaction |
From the drop-down list box select the activity for which you require to view employee activity task mapping. |
Billable |
From the drop-down list box, select Billable (Yes/No) to retrieve the employee activity task mapping of the specific Billable status. |
Task |
From the drop-down list box, select the task to retrieve the employee activity task mapping of the specific task. |
Site |
From the drop-down list box, select the site to retrieve the employee activity task mapping of the site. |
ØClick “Search” pushbutton.
The system displays the following details in the multiline based on the search criteria:
Employee Code, Employee Name, Activity/Process/Transaction, Task Code, Task Description, From Date, To Date, Billable(Y/N) and Site.
ØEdit or delete the details, if required.
Note: You are allowed to edit/delete the employee activity task definition only if the details are not used in the time entry.
ØClick “Save” pushbutton to save the details entered.
