Reimbursement Calendar: A reimbursement calendar is the time frame for which the eligibility rules and regulations for availing a reimbursement item are applicable. . It can span for any number of periods like months, years.
Another one normally succeeds a calendar. For every succeeding calendar, the organization unit can freshly apply the eligibility rules and regulations for the reimbursement item, if required. Through such standardized time frames, the organization unit can ascertain the reimbursement value or amount availed by the employees versus the amount or value for which the employee is eligible. It can also determine the treatment of the reimbursement balance at the end of the calendar year.
Creating a Calendar: You are to identify a new calendar by a unique code and description. You are to provide the specific period for which the calendar will be effective.
Mapping Reimbursement Items and Groups: You can map independent reimbursement items to the calendar. This implies that all the eligibility details defined for the reimbursement item will be applicable for the calendar period only. Similarly, you can map reimbursement groups to the calendar. When groups are mapped to the calendar, the items attached to the groups are automatically mapped to the calendar.
Reusing Calendars: For a given reimbursement calendar, you can choose to retain the reimbursement item or group mapping of a previous calendar. You will need to change the, calendar code, description and the effective period of the new calendar, and then copy the reimbursement group / item mapping from the previous calendar.
Adding Prefix and Suffix: To make a reimbursement claim record more self-explanatory, you could have an applicable prefix and suffix as part of the record. In the example, MEDIC00012002, the prefix MEDIC could indicate that it is a medical reimbursement while the prefix 2002 can indicate that it is for the calendar year 2002. In such contexts when a prefix and suffix are in sync with the reimbursement calendar, you can change them every time a new calendar is being created.
Saving a New Reimbursement Calendar: After entering the calendar details in the “Create Reimbursement Calendar” page, executing the Create button will save the entries as a new reimbursement calendar. The steps to be carried out are as follows:
