My Profile

This activity allows the employee to record his/her profile information under various sections such as statutory disclosures, resume details, contact information, education summary, employment summary, skills and additional information. All profile pages, sections are configurable based on configuration setting in Maintain Candidate Portal Configuration Parameters screen available in Candidate Portal Setup Component. Only enabled pages, sections and fields will be visible in Profile screen.

Header Drop-Down Menu

To navigate to another screen from My Profile, use the drop-down menu available in the header. Navigate to Search Positions, Home page, Track My Applications, Change Password or Logout from the application using the drop-down menu available in the header.  

If you require importing profile from LinkedIn after Login using LinkedIn, on click of the Import from LinkedIn button, a confirmation pop up message will appear. On click of 'OK',  the profile details will be imported from LinkedIn.

If you haven’t signed in using LinkedIn, click “Sign in with Linked in” button. A callout to validate LinkedIn credentials launches and after successful validation of credentials, the Import from LinkedIn button gets enabled and the Sign in with LinkedIn button gets hidden. On click of the Import from LinkedIn button, a confirmation pop up message will appear. On click of 'OK',  the profile details will be imported from LinkedIn.

This tab enables a candidate to enter contact information of the candidate.

First Name

The first name of the applicant. Mandatory.

Middle Name

The middle name of the applicant.

Last Name

The last name of the applicant. Mandatory.

Email ID

The email ID of the applicant. Mandatory.

Phone

The phone number of the applicant. Mandatory.

Address (Line 1)

The first line of address of the applicant. Mandatory.

Address (Line 2)

The second line of address of the applicant.

Country

The Country of the applicant. From the drop-down list box, select the Country to which the applicant belongs. Mandatory.

State

The State of the applicant. From the drop-down list box, select the State to which the applicant belongs. Mandatory.

If state is not available as part of the list box, select the option ‘Not Specified’.

City

The City of the applicant. From the list edit box, select the City to which the applicant belongs. Mandatory.

 If city is not available as part of the list box, select the option ‘Not Specified’.

ZIP/Postal Code

The ZIP/postal code number of the applicant. Mandatory.

Relevant URLs

Website

The website of the applicant.

Blog

The name of the blog link of the applicant.

Social Network Profile 1

The social network profile 1 of the applicant.

Social Network Profile 2

The social network profile 2 of the applicant.

How did you get to know about us?

Source Type

 The source type is the source through which the candidate got to know about the vacancy or the organization. From the drop-down list box, select the required source type. The combo is loaded with various options for you to choose. The system displays “Select” by default on launch of the page. Mandatory.

Specify name of  referrer in case of employee referral

The name of the   referrer person. Conditionally Mandatory.

To be specified if Source Type is Employee Referral.

Specify, if source type is “others”

Enter the name of the source type which is not available as part of the options in the Source Type combo, if “Others” is selected from “Source Type” combo. Conditionally Mandatory.

Specify employee code of referrer

The employee code of the   referrer. Conditionally Mandatory.

To be specified if Source Type is Employee Referral.

Note: If the candidate visits this section for the first time, all the fields will  be blank. If the details had already been saved by the candidate either on click of ‘Save and Proceed’ or on submission of profile, the saved details are fetched. You are allowed to edit the details and save again.

If yes, specify employee code/email id

If the candidate has worked in this organization earlier and the checkbox is ticked then in such case enter the previous employee code/organizational email address used during previous stint with the organization. Conditionally Mandatory.

Education

Education

The “Education” tab enables you to enter the education details.

To add education details,

Education

From the drop-down list box, select the education, education level and specialization to specify the academic level of education. The qualifications in the combo are loaded from the Qualification master. If the qualification of the candidate is not available as part of the list box, choose the option ‘Others’. Mandatory.

Note: On selecting a qualification from the list edit, the qualification description appears in the list edit field and the specialization and education level is displayed below the list edit field.

Education (If, Others)

If Education is selected as “Others”, you are allowed to enter the name of the education using free text in this field.

College / University

From the drop-down list box, select the college/university. The values in this combo are loaded from the Institution quick codes. The system displays “Select” by default on launch of the page. If college/university of the candidate is not available as part of the institution master, the candidate can choose the option ‘Others’. Mandatory.

College / University (If, Others)

If College/University is selected as “Others”, you are allowed to enter the name of the college/university using free text in this field.

Graduated/

Completed

  • Select “Yes” if the candidate is graduated/completed otherwise click “No”

  • Select “Still Attending” if the candidate is still attending the course.

Start Date/End Date

The start and end date of the education.

Note: You are allowed to pick the start and end dates of the education in these fields using the date picker option.

Nature/Mode

From the drop-down list box, select the option to specify the nature of study. The values in the combo are loaded from the user defined quick codes.  

Class

From the drop-down list box, select appropriate option. The values in the combo are loaded from the user defined quick codes.

CGPA / Percentage

The Grade Point Average or Percentage of marks obtained.

Maximum

The maximum marks against which the applicant scored the Grade Point Average or percentage.

Attachment

Proof of completing this education stream.

The following details are displayed in the multiline:

First Column

The education (in bold) and College/University.

Note: If education is selected as “Others’ in the combo then display the education details entered in the Education (if others) field.  If institution is selected as “Others” in the combo then display the institution entered in “College/University (If, Others)” field.

Second Column

The date, month and year of qualification start and end dates including nature/mode within brackets. The qualification level and specialization is displayed in the next line. 

Third Column

The CGPA/Percentage is displayed in the third column if entered by the candidate.

Fourth Column – Edit

The option to edit (Edit icon) is available.

  • Click  icon in the row to navigate to “Education” pop-up. The saved details will be fetched and displayed in the respective fields.

  • You are allowed to make required changes to the field details.

  • Click “Save” to save the details entered. On saving, the pop-up will autoclose if all the validations are successful.

Fifth Column

The option to delete (Delete icon) is available.

  • Click icon in the row to delete the education details.

Note: On clicking the icon the education details gets deleted and will disappear from the grid.

Certifications

The “Certifications” section enables you to enter the certification details.

To add certification details,

Certification Name

The name of the certification acquired by the applicant. Mandatory.

Certification Authority

The organization from where the applicant acquired/completed the certification course. Mandatory.

Valid From / Valid to

The Valid From and To dates of certification.

Attachment

Proof of achieving the certification.

First Column

The certification name (in bold) followed by the certification authority.

Second Column

The valid from and valid to dates of certification.

Third Column – Edit

The option to edit (Edit icon) is available.

Employment

The ‘Employment Summary’ page has sections to capture Employment Summary, References and Profile Summary.

Employment Details

The ‘Employment Details’ section enables you to add employment details.

To add employment details,

Position / Job Title

The position or job title of the applicant. Mandatory.

Organization

The name of the organization in which the applicant worked previously. Mandatory.

Start Date

The date from which the applicant worked in the organization. Mandatory.

End Date

The date till which the applicant worked on the organization.

Location

The location in which the organization exists. Mandatory.

Reason for Change

The reason for which the applicant opted to change his/her earlier job.

Annual Salary

The annual salary of the applicant in the earlier organization.

Currency

Select an option from the ‘Currency’ combo to specify the name of the currency in which the remuneration was paid.

Reason for Change

The reason for which the candidate is seeking another job.

Attachment

Experience letter / Relieving letter or supporting documents as proof for having worked with the employer.

The following details are displayed in the multiline:

First Column

Position title (in bold) followed by the Organization.

Second Column

The start date and end date followed by duration in months.

Note: For current employer, end date will be replaced by the text “Till Date”.

Third Column

The work location.

Fourth Column – Edit

The option to edit (Edit icon) is available.

  • Click  icon in the row to navigate to “Employment Summary” pop-up. The saved details will be fetched and displayed in the respective fields.

  • You are allowed to make required changes to the field details.

  • Click “Save” to save the details entered.

The “References” section enables you to enter the reference details of the candidate.

To add reference details,

Name

The name of the reference person. Mandatory.

Position / Job Title

The position or job title of the reference person. Mandatory.

Organization

The name of the organization in which the reference person is working. Mandatory.

Phone Number

The phone number of the reference person. Mandatory.

Email Id

The email ID of the reference person. Mandatory.

The following details are displayed in the multiline:

First Column

The Name (in bold) followed by the Position/Job Title.

Second Column

The phone number followed by the email id.

Third Column

Organization

Competencies

The “Competencies” section enables you to specify the competency details of the applicant.

To add competency details,

Competency

From the drop-down list box, select the competency possessed. The combo is loaded with various competencies for you to choose. If value is unavailable in the list box, choose ‘Others’ and enter the details in the User Specified Competency field. Mandatory.

User Specified Competency

 The applicant can enter details in the user specified competency field if competency option chosen in the list box is ‘Others’.

Proficiency

From the drop-down list box, select the possessed proficiency level to specify the applicant’s proficiency in competency. Mandatory.

Experience (in years)

Enter the competency experience in years. Mandatory.

The following details are displayed in the multiline:

First Column

The competency (in bold) followed by Proficiency in the competency.

Second Column

Experience in the competency.

Third Column – Edit

The option to edit (Edit icon) is available.

Languages Known

This section enables you to specify the languages known to the applicant.

To add language details,

Language

From the drop-down list box, select the language that is known to the applicant. The combo is loaded with various languages for you to choose. Mandatory.

Proficiency

From the drop-down list box, select the language proficiency of the applicant. The combo is loaded with various options for you to choose. Mandatory.

The following details are displayed in the multiline:

First Column

The language name (in bold) followed by the term ‘Native Language’ if it is marked as native language.

Second Column

The proficiency of the candidate in the language.

Note: If the candidate has selected “Yes” in the “Can conduct business” combo then the text “Can conduct business” is displayed in the second row. Otherwise, the text “Cannot conduct business” is displayed.

Third Column – Edit

The option to edit (Edit icon) is available.

  • Click  icon in the row to navigate to “Language Known” pop-up. The saved details will be fetched and displayed in the respective fields.

  • You are allowed to make required changes to the field details.

  • Click “Save” to save the details entered.

Fourth Column – Delete

The option to delete (Delete icon) is available.

  • Click icon in the row to delete the language details.

Note: On clicking the icon the language details gets deleted and will disappear from the grid.

Additional Information

The ‘Additional Information’ tab has sections to capture family information, identification information and other details of the applicant.

Family Information

To add family details,

First Name

The first name of the person. Mandatory.

Last Name

The last name of the person. Mandatory.

Relationship  

The relationship of this person with the applicant. From the drop-list box, select an option to specify the relationship of the person with the applicant. The system displays “Select” by default on launch of the page. Mandatory.

Gender

The gender of the person. From the drop-down list box, select the appropriate option.  The system displays “Select” by default on launch of the page. Mandatory.

Date of Birth

The date of birth of the person.

The following details are displayed in the multiline:

First Column

The first name and last name (in bold) followed by the relationship in the second row.

Second Column

The DOB (date of birth) in first row followed by the Dependent status.

Note: If the person is a dependent, the text “Dependent” is displayed. If not a dependent, the text “Not a dependent” is displayed.

Third Column – Edit

The option to edit (Edit icon) is available.

  • Click  icon in the row to navigate to “Family Information” pop-up. The saved details will be fetched and displayed in the respective fields.

  • You are allowed to make required changes to the field details.

  • Click “Save” to save the details entered.

Fourth Column – Delete

The option to delete (Delete icon) is available.

  • Click icon in the row to delete the details.

Note: On clicking the icon the family details gets deleted and will disappear from the grid.

Identification Details

To add identification details,

Document Type

From the drop-down list box, select the required document type. The combo is loaded with various options for you to choose. The system displays “Select” by default on launch of the page. Mandatory.

Document Number

The document number of the identification document. Mandatory.

Valid From

The date from which the document is valid. Mandatory.

Valid To

The date till which the document is valid.

Place of Issue

The place at which the document was issued. Mandatory.

Issuing Authority

The issuing authority of the document. Mandatory.

Remarks

Key in any remarks or feedback, if any.

The following details are displayed in the multiline:

First Column

The document type (in bold) followed by the document number.

Second Column

The issuing authority in the first line followed by the place of issue in the second line.

Third Column

The valid from and valid to dates.

Fourth Column – Edit

The option to edit (Edit icon) is available.

  • Click  icon in the row to navigate to “Identification Information” pop-up. The saved details will be fetched and displayed in the respective fields.

  • You are allowed to make required changes to the field details.

  • Click “Save” to save the details entered.

Gender

From the drop-down list box, select an option to specify the marital status. The combo is loaded with various options for you to choose. The system displays “Select” by default on launch of the page.

Nationality

From the drop-down list box, select an option to specify the nationality of the applicant. The combo is loaded with various options for you to choose. The system displays “Select” by default on launch of the page.
