Manage Requests

Note: The "Manage Time Off"/"Manage Leave" in My Time Off/My Leave widget also allows you to apply "FMLA Leave". This is applicable only for US clients.

The “Manage Requests” page consists of the following tabs:

 Sort by

From the drop-down list box, select the required option. The combo is loaded with
“Status”, “Date Applied”, “Start Date” and “Type” options.

Status: If “Status” is selected from the combo, then the leave requests are sorted in the following order :

  • Rejected

  • Pending Approval (multiple statuses)

  • Approved

Date Applied: If “Date Applied” is selected from the combo then leave requests are sorted in the descending order of requested date.

Start Date: If “Start Date” is selected from the combo then the leave request is sorted in the descending order of the leave start dates.  

Type: If “Type” is selected from the combo then the leave request is sorted in the alphabetical order of the leave type description.

Note: The “Requests” multiline is refreshed based on the options selected in “Sort By” combo.

The following details are displayed in the “Requests” multiline:

Column 1

The column comprises of the below mentioned information:

  • The leave type short description.

  • The leave start date (start session for day based leave/ start time for hour based leave) and leave end date (end session for day based leave/ end  time for hour based leave).

  • The status of the leave request.

  • If the leave request status is ‘Pending for Authorization – Create’  then the status is shown in brown color.

  • If the leave request status is ‘Pending for Authorization – Cancel’, ‘Pending for Authorization – Alter’ then the status is shown in navy blue color.

  • If the leave request status is ‘Authorized’  then the status is shown in green color

  • If the leave request status is ‘Rejected’  then the status  is shown in red color

  • On click of the hyperlink on leave dates in this column, the “View Request” UI launches.  Refer 'View Request' section for details.

Column 2

 

The leave duration in days or hours based on whether it is a day based leave type or hour based leave type.

The Edit, Cancel and Delete icons are enabled/disabled based on the permissible actions for the status of the leave request row in the grid.

Column 3

Attachment icon  is show enabled if any supporting documents are attached in the leave request else will be blank.

Column 4

 

If the status of the leave request id is other than “Approved” then the Edit icon is shown as a dark pencil  icon and if the status of the leave request is “Approved” then the Edit icon is shown as a greyed out pencil  icon.

  • Click  icon to navigate to the “Edit Request” screen.

Column 5

  • Click  icon to cancel the leave request.

If the status of the leave request id is “Authorized” then the 'Cancel' icon is displayed in red  colour otherwise the 'Cancel' icon is displayed as greyed out  colour.

On clicking  icon, the "Cancel Request" popup appears.

The following details are displayed in the “Cancel Request” pop-up:

  • The leave type including the Request ID.

  • The leave start date (From session) to leave end date (To session).

  • The reason for leave.

  • The available leave balance.

  • Enter the reason for cancellation in the “Cancellation Reason” text box.

  • Click “Cancel” to cancel the leave request. A “success message” appears for leave cancellation and the leave request id changes to “Pending for Authorization – Cancel”.

Column 6

  • Click  icon to delete the leave request.

If the status of the leave request id is “Pending for Authorization - Create” then the Delete icon is displayed in red  colour otherwise the Delete icon is displayed as greyed out colour.

On clicking icon, a confirmation message “Are you sure you want to Delete? ”appears.  Click “Ok” to delete the leave request (The Leave Request Id gets deleted from the leave transactions table) otherwise click “No”.
