Ensure you are in the “Edit Hire Request” page.
The system displays the following details at the top of the page.
Date Format |
The date format that is applicable to the login user. |
Request No. |
The serial number of the hire request. |
Vacancy Unit |
The employment unit at which the vacancy exists. |
Requested Date |
The date on which the hire request is submitted. The system displays the date. The requested date cannot be edited. |
You can modify the following Vacancy detail.
Note: By default, the system displays the values previously specified for the details.
Required By Date |
The date by which the manpower requirement is to be addressed. You can edit the value. |
Note: The position, job and department for which the hire request has been made cannot be edited. You can only edit some of the details of the job for which the hire request has been made.
Specify the position for which the hire request is being modified.
Position |
The unique code of the position if the hire request is for a position. This field is help enabled. You can access the help feature to select the code of the required position. The system displays the selected position code in this field. |
The details of each position and job are predefined in the interacting Unit Structure component. You can fetch the predefined position details by default to the corresponding fields. To get position details by default,
Specify the position code in the “Position” field.
Select the “Get Position Details” pushbutton.
The system displays the following predefined position attributes.
Note: You can edit any or all of the above details.
Department |
The department to which the position or job for which the hire request is made. This field is help enabled. You can access the help feature to select the code of the required department. The system displays the selected department code in this field. |
Job |
The unique code of the job for which the hire request is made. |
The system displays the following predefined job attributes, which you can modify.
Number Required |
The number of employees required. |
Employee Type |
The type of the job, for example, regular, contract etc. The employee type indicates if the requirement is for regular employees, contract employees, trainees etc. From the drop-down list box, select the required value. |
Grade Set |
From the drop down list box, select the grade set pertaining to the request. |
Grade |
From the drop down list box, select the grade pertaining to the request. |

Contract Hours |
The number of hours of work for a specified period. |
Contract Days/Week |
The number of days of work per week. |
You can modify the following fields under "Additional Information".
Experience Description |
The description of the specified position or job as it should be specified in the job listings. |
Qualification Remarks |
Any comments on the prerequisites for the vacant post. |
Reason for Vacancy |
From the drop down list box, select the cause for the vacancy. For example, termination, separation, maternity leave and sick leave. |
Employee on Leave |
The code of the employee who will be substituted by a new employee. This field is mandatory if a post becomes vacant for a specific period/reason as result of an employee proceeding on leave. |
Requester |
The employee code and name of the supervisor or his/her representative who submitted the request for hire. |
The system displays the code and name of the employee who has placed the request for hire.
On selecting a level, the system also displays the following details under "Budget Details", which you can modify.
Standard Pay/Week |
The budgeted pay for a week for the post, which has become vacant and needs to be filled. |
Budgeted Headcount |
The planned number of employees for the position-grade set-level combination according to the paygrid definition. |
Actual Headcount |
The current number of employees for the position-grade set-level combination. |
No. of Termination Requests |
The number of open termination requests that the HR has received till date pertaining to position-grade set-level combination. |
Number Required in Open RFHs |
The sum of vacancies in all the active/open hire requests that pertain to the position-grade set-level combination. |
Authorization Status |
The status of the hire request. |
Modify previous comments in the "Comments" field.
To enter details of Work experience/ Comments
Select the book icon beside the “Experience Description” or "Comments" field. The system displays a dialog box.
Enter the comments in the dialog box.
Select the “OK” pushbutton to save the details and return to the previous page.
Select the “Cancel” pushbutton to return to the previous page without saving the details entered.
Select the “Submit" pushbutton at the bottom of the page to save the specified details.
For new requests, the system sets the status to "Pending Authorization". If the request is automatically authorized, the system allots the status of "Authorized" to it.
Select the "Post Resume" link to attach a resume to a vacancy.
The "Post Resume against a Vacancy" page appears.
