Enter the complete code of the employee in the “Employee Code” field.
Select the “Initiate Employee Promotion/Transfer” hyperlink beside the employee code field.
The system displays the “Initiate Employee Promotion/Transfer” page.
Use the search facility to fetch the required records in the multiline.
Select the hyperlink on the name of the employee in the required record.
The “Initiate Employee Promotion/Transfer” page appears.
The system displays the following details at the top of the page.
Note: For a rejected or pending authorization record, by default, the system displays the values previously specified for the details. You can edit the values and resubmit the record for authorization.

Indicate if you are initiating promotion, transfer or promotion with transfer process for the employee. From the drop-down list box, select the required value such as, “Promotion”, “Transfer” or “Promotion with Transfer” to indicate accordingly. The drop-down list box displays with select. By default, the system displays “Promotion” if the record is being entered for the first time. | |
The reason for which promotion/transfer process has been initiated for the employee. The system displays the reason for promotion/Transfer defined by the user using the Quick Codes activity of HR general information. The drop-down list box displays the predefined reasons such as, “Change in Assignment”, “New Hire”, “Promotion”, “Promotion with Transfer”, “Others”. By default, the system displays a blank value, if the record is being entered for the first time. | |
The date and time on which the employee has been promoted, transferred or promoted with transfer. Enter the time in the field beside the date field. By default, the system will display the time format as 00.00.00 and will default the time as 00.00.00 if the user has not entered the time. | |

The code and name of the selected employee. |
The system displays in the “Employee’s Current Details” fields listed in the left half of the page, the information pertaining to the current position, employment unit, department and job details and the details of the supervisor to whom the employee is currently reporting to.
You are to specify the details of the new position, job, employment unit, in the corresponding fields listed under “Employee’s New Details” fields in the right half of the page. The current details displayed at the left serve as a ready reference while specifying the new details consequent to promotion, transfer or promotion with transfer.
You can view the following current details of the employee in the “Employee’s Current Details” fields at the left side of the page.
Current Position |
The position currently held by the employee, for example, Senior Manager, Analyst Programmer etc. |
Current Employment Unit |
The description of the employment unit to which the employee is currently attached. |
Current Company |
The description of the company in which the employee is currently employed. |
Current Regulatory Region |
The regulatory region applicable to the employee’s current employment unit, for example, North, South etc. |
Current Work Location |
The name of the current work location of the employee, for example, California, New Jersey etc. |
Current Business Unit |
The business unit applicable to the employment unit to which the employee is currently attached. |
Current Department |
The department in which the employee is currently working. |
Current Job Title |
The title of the employee’s current job. |
Current Grade Set |
The unique code of the grade set applicable to the employee’s current job. |
Current Grade |
The unique code of the grade applicable to the grade set. |
Current Supervisor |
The supervisor to whom the employee is currently reporting. |
Current Supervisor’s Assignment No. |
The primary assignment number of the supervisor to whom the employee is currently reporting. |
Use only the required “Employee’s New Details” fields to specify information with regard to the promotion, transfer or promotion with transfer of the employee.
Note: By
default, for a new employee movement record, the “Employee’s Current Details”
values at the left half of the page will be displayed in the corresponding
fields in the “Employee’s New Details” fields listed in the right half
of the page.
For a pending authorization or rejected record, the system displays the
values previously specified. You can edit the values and resubmit the
record for authorization.
New Position Code

The unique code of the new position to which the employee has to be promoted, transferred or promoted with transfer. The position code field is help enabled. Help Available |
The details of a position like the employment units in which the position is available, the regulatory region and business unit applicable to each employment unit, the department and job applicable to the position are predefined in the “Unit Structure” component with which the specified “Employee Movement” component interacts through employment unit component You can fetch the predefined position details by selecting the “Get Position Details” pushbutton below the “New Position Code” field. For example, the system lists in the “New Employment Unit”, “New Regulatory Region”, “New Work Location” and “New Business Unit” drop-down list boxes, the values applicable for the specified position code. The system fetches the values for the following details applicable to the specified position code.
Note: By default, the system displays the applicable values in the fields and drop-down list boxes below the “New Position Code” field. If necessary, you can edit any or all of the details.
New Employment Unit |
The new employment unit to which the employee is promoted, transferred or promoted with transfer. The system lists the employment units interacting with the specified employee movement unit. From the drop-down list box, select the required value. |
New Company |
The company to which the new employment unit is attached. The system displays the description of the company applicable to the specified new employment unit. |
New Regulatory Region |
The regulatory region governing the new employment unit. The drop-down list box displays the available regulatory regions. By default, the system displays the value applicable to the specified position code. From the drop-down list box, select the required value. |
New Work Location |
The name of the employee’s new work location, for example, California, New Jersey etc. From the drop-down list box, select the required value. By default, the system displays the work location applicable to the new employment unit specified. To edit, select the required value from the drop-down list box. |
New Business Unit |
The new business unit to which the employee must be attached. From the drop-down list box, select the required value. By default, the system displays the business unit applicable to the specified position code. To edit, select the required value from the drop-down list box. |

The details of a job like the grade set and grade applicable to it are predefined in the “Unit Structure” component with which the specified “Employee Movement Unit” interacts through employment unit. You make the predefined job attributes applicable to the new job by default by selecting the “Get Job Details” pushbutton below the “New Job Code” field after specifying the new job code.

The system displays the Grade Set and Grade applicable to the specified job code in the corresponding drop-down list boxes.

From the drop-down list box, select the new grade set applicable to the employee’s new job. By default, the system displays the grade set applicable to the specified job code. To edit, select the required value from the drop-down list box. Note that on changing the Grade Set value, the system will display a message indicating that the Employee-Payset mapping will be changed accordingly. |

Enter the additional comments with regard to the details entered. |
Select the BOOK icon beside the “Comments” field. The system displays a dialog box.

Select the “OK” pushbutton to save the details and return to the previous page.
Select the “Cancel” pushbutton to return to the previous page without saving the details entered.
Select the “Save Request” pushbutton to save the details entered and submit the record for authorization.
