Using online help

 

4     Ensure that you are in the “Select Employment Information for Authorization” page.

4     Select the data hyperlink in the no. of request column.

4     The “Select Employee for Authorization” page appears.

4     Select the data hyperlink in the employee name column to go to “Authorize Primary Assignment” page.

4     The “Authorize Primary Assignment” page appears.

4     Select the “View Primary Assignment” hyperlink from the bottom left of the page.

4     The system displays the following fields.

Date Format

The date format applicable to the login user. More Details.

Employee

The unique code of the employee.

Employment Unit

The Employment unit as specified in the “Select Employee to View Employment Details” page.

Date of Joining

The date and time when the selected employee joined the organization.

Assignment No

The number of the employee assignment. The value in this field is system generated. Generally, “1” is displayed.

Assignment Type

The type of assignment undertaken by the employee One of the following options is displayed: “New Hire”, “Rehire” or “Change in Assignment”. If it is:

 

§                      “New Hire”, it denotes that the employee is new to the organization.

 

§                      “Re-Hire”, it indicates that the employee has been hired again after leaving the organization.

Position

The position code for the selected employee.

Employee Status

The value “Current” or “Terminated” is displayed in this field. If it is:

 

§                      “Current”, it denotes that the employee is still working in the organization.

 

§                      “Terminated”, it denotes that the employee is no longer employed with the organization. In case of termination, the primary assignment record cannot be modified.

Reason for Change in Assignment

The reason for change in assignment. Example: change in function and position.

Effective From

The date and time from which the primary assignment defined for the employee, must be activated. The date and time of joining is displayed in this field, by default. These details are fetched from “Employee Personal Information” component.

In case of history data being present, this field denotes the date and time from which the history data is valid.

Effective To

This field denotes the date and time to which the history is valid, if the history data is present.

Access Data History

It keeps track of all updates to the record. The changes must be saved with Modification Option as “Update” along with the “New Effective From” date and time, if you want the record to appear in the history information.

Employment Unit

The employment unit selected in the previous page. Tell me more.

Regulatory region          

The region governed by a common law.

Business Unit

The business unit of the employee.

Work location

The work location where the organization is located.

Company

The company to which the employee belongs.

4     Viewing the “Hierarchy Point” details

4      You can view the following details in the “Hierarchy point” group box.

Hierarchy Short Description

A short description for the hierarchy.

Hierarchy Chain

The hierarchy code of the employee.

Department

The department to which the employee belongs.

Cost Center

The description of the cost center to which the function’s costs are currently assigned. This field is displayed based on the function code, you specify.

4      Viewing the “Job Profile” details

4      You can view the following details in the “Job Attributes” group box.

 Job   

The job code for the selected employee.

Job Description              

The job type for the selected employee. Example: regular, part time.

Job family        

The job family to which the selected employee belongs.

Grade set         

The grade set code for the selected employee. 

Job classification          

The job classification as defined in quick codes to which the current job belongs to

Worker’s Compensation Code   

The code pertaining to the worker’s compensation.

Standard Hours              

The standard hours for which the employee is required to work.

Medical check Required              

Specifies whether a medical check is required for the selected employee.

Tipped               

Specifies whether the employee is tipped or not.

Job Level Description   

The description of the job level to which the selected employee belongs.

EEO class

The Equal Employment Opportunity classification, which is captured as part of Job Information.

Grade

The grade code for the selected employee.

Working Condition

The working condition of the employee’s work place.

Salaried/hourly

Specifies whether the employee is paid on a salary basis or hourly basis.

Work Experience

The work experience pertaining to the employee.

Medical check requirements

The medical check requirements pertaining to the employee.

Mobile

The mobile number of the employee.

FTE

Full Time Equivalent of the job (If the regular working hours are 8 hrs/day, and if two employees are employed part-time for 4 hours and 6 hours respectively, then their FTE would be 0.5 and 0.75 respectively).

Full time/part time          

Specifies whether the selected employee is working on a full time or part time basis.

Regular/Temporary       

Specifies whether the selected employee is hired on a regular or temporary basis.

4     Viewing the “Reporting to” details

4       You can view the following details in the “Reporting to” group box.

Supervisor

The employee code of the supervisor of the selected employee. 

Assignment No

The assignment number of the supervisor.

Job title                                            

The job title of the supervisor.

Position                            

The position description of the supervisor.

Department

The department to which the supervisor belongs.

4     Viewing the benefit- related information

4     You can view the following benefit-related information.

Union Affiliation

The union to which the employee belongs, in the organization.

Group

The group of the union to which the employee belongs.

Description

The description of the union given by the user.

Comments

Any comments pertaining to the primary assignment information.
