Ensure that you are in the “Select Employee to Record Terms and Conditions” page.
Click on the “Select” checkbox corresponding to the employee record for which you want to record the terms and conditions.
Select “Request to Record Terms and Conditions” hyperlink from the bottom left of the multiline.
The “Request to Record Terms and Conditions” page appears.
The system displays the following fields at the top of the page.
Date Format |
The date format applicable to the login user. More Details. |
Employment Unit |
The employment unit selected in the “Select employee to record terms and conditions” page. |
Employee |
The name of the employee. |
Assignment No |
The assignment number that has been allocated for the employee. |
Position Title |
The position title of the selected employee. |
Job Title |
The job title of the selected employee. |
Employee Type |
The type of employee for example, regular, trainee or contractual. |
Department |
The department to which the employee belongs. |
The system displays the details of Terms and Conditions in the following multiline.
Terms and Conditions |
Select the name of the terms and conditions, from the drop-down list box. The names of the terms and conditions are user-defined. The user lists the names by using quick code component. Examples: notice, bond, and others. |
Period |
The period in this field in free text form. For example 2 years |
From |
The date from which the terms and conditions must be effective. |
To |
The date until which the terms and conditions will be in effect. |
Currency |
Select the currency in which the amount or security deposit must be paid, from the drop-down list box. The options in the drop-down list box are obtained from the “Finance” module. |
Amount |
The amount that is valid for the terms and conditions. Example: In the case that the employee’s offer of appointment provides a condition for sufficient notice to terminate the employment and if the employee chooses not to serve the notice period, he may have to pay a certain amount as compensation. Note: You must select the currency if amount is specified. |
Security Deposit |
The amount that has to be given by the employee as security deposit to the organization. Example: If an employee has to undergo some training abroad, he may have to sign a bond and deposit an amount as security deposit, which will be taken by the organization, if there is any default. |
Remarks |
The remarks on terms and conditions for the employee-assignment. This is a free text field. Example: if the terms and conditions is “Bond”, then the remarks may be “Project in France”. |
Request Status |
The status of the request made. It could be a request for addition, modification or deletion. |
Request for Deletion |
This is checked in case of a request for deleting an authorized record. |
Authorization Status |
The status of the authorization request. It could be pending authorization, authorized or rejected. |
Rejection Reason |
The reason for rejection of the request. It is mandatory if the record is rejected. |
Select the “Save Request” pushbutton to save the request.
Select the “Cancel Request” pushbutton to cancel the request.
