Contract Information – A Summary of the Activity

The “Contract Information” activity enables you to extend contact for the employees. You can filter the employees based on the contract expiry date through search option and update the new contract details such as New Contract From Date, New Contract To Date, Client Mail Date and Remarks. On submitting and authorizing, the new contract details will be saved and displayed and the old contract details are saved as history.

 

Contract Information

ØSelect “Contract Information” activity under the “Employee Information Management – Bulk”.

The “Maintain Contract Details” page appears.

ØEnter the following field details in the header:

Leave Administration

The organization unit where the “Leave Administration” component is deployed.

Client Code

 From the drop-down list box, select the code of the client.

Client Name

The name of the client is displayed on selecting the client code.

Service Location

The Service Location is displayed on selecting the client code. If there are multiple service locations then select from the combo but if there is only one service location then that will be defaulted.

ØEnter the following field details under “Search Criteria” in the header:

Contract Expiry From/Contract Expiry To

The contract expiry “From/To” date range. Mandatory.

Store/Branch/Office

On selecting the client code, the “Store/Branch/Office” is displayed by default. From the drop-down list box, you are also allowed to select the employee’s store/office/branch. The combo is loaded with various options for you to choose.

Employee Code – Name

The code and name of the employee.

Help facility available

Department

On selecting the employee code, the “Department” is displayed by default. From the drop-down list box, you are also allowed to select the department type. The combo is loaded with various values for you to choose.

Contract Status

From the drop-down list box, select the status of the contract. The combo is loaded with the values “Authorized”, “New” and “Pending for Authorization”. The system displays “Select” by default on launch of the page.

ØClick the “Show Details” pushbutton. The system displays the “Employee Code”, “Employee Name”, “Status”, “Store/Branch/Office”, “Department”, “Job”, “Contract From” and “Contract End” details in the “Maintain Contract Details” multiline.

ØEnter the following field details in the “Maintain Contract Details” multiline:

Status

The status of the selected record.  The status may be “Success” or “Error” depending on the record selected.

New Contract From

The new contract from date. The new contract from date should be one day greater than the old contract end date. Mandatory.

New Contract End

The new contract end date. Mandatory.

Client Mail Date

The client mail date. Mandatory.

 

Contract Status

The status of the employment contract. The contract status may be “Authorized”, “New” or “Pending for Authorization” depending on the record selected.

Remarks

Key in any remarks or feedback.

Error Remarks

Any error while creating the record is listed in this field.

ØClick “Submit” to submit/save the details entered. On saving, the system checks for all the mandatory validations.

ØClick “Authorize” to authorize the contract.

Note: On clicking “Authorize”, the system will check for all the mandatory validations and the “Employee Code” generated is authorized and the “Contract Status” will be changed to “Authorized”.
