Recording qualification details
Use this page to record the qualification details of an employee.
Ensure that you are in the "Create employee file" or “Record personal information” page.
Select the “Record qualification Information” link at the bottom of the page.
The “Record qualification Information” page appears.
The system displays the following:
Date Format |
The date format that is applicable to the login user. |
You can view the following in the “Employee details” group box:
HR Setup Unit |
The HR setup unit applicable to the login employment unit. |
Employee |
The unique employee code and name of the employee. The system displays the value selected in the “Select Employee” page. |
Employee Type |
The type to which the employee belong. For example, contract, regular. |
Viewing Effective Dates
You can use the “History Details” group box to view the effective dates of the previous versions of the record.
Effective From |
The date from which the personal information record has come into effect. |
Effective To |
The date till which the personal information record will be valid. |
Select the “Previous” pushbutton to view the effective dates of the previous version of the record.
Select the “Next” pushbutton to view the effective dates of the next version of the record.
Enter the following details in the “Qualification details” multiline:
Qualification Code |
The unique code of the qualification. Help available. |
Qualification Description |
The description of the qualification, for example, MBBS, applicable to the selected qualification code. |
Qualification Level |
The corresponding academic level of the qualification ,such as, graduation, postgraduation. |
Specialization |
The specific area of study. For example, if the qualification specified is engineering, you can specify the specialization area as, Mechanical Engineering or Civil Engineering. |
Qualification Type |
The type of the qualification, for example, License, Certification and Degree applicable to the selected qualification code. |
Institution |
The institution in which the employee acquired the qualification. |
Major |
The subjects that come under major subjects, in the specified qualification. |
Minor |
The subjects that come under minor subjects, in the specified qualification. |
Month of passing |
The month in which the employee acquired the qualification |
Year of passing |
The year in which the employee passed out the specified qualification |
Duration |
The duration for the specified qualification |
Time unit |
The time unit with respect to the duration of the qualification. For example, month, years. |
Nature |
The nature of study, by which the employee acquired the qualification. For example, regular, correspondence. |
GPA/percentage |
The Grade point average of percentage obtained by the employee |
Maximum |
The maximum score for the specified qualification |
Sponsored |
Specify whether the employee has been sponsored for the specified qualification |
Rank |
The rank obtained by the employee. |
Class |
The class obtained by the emploee |
From |
The starting period when the course commenced |
To |
The ending period when the course got completed |
Relative Importance |
The relative importance of the qualification obtained by the employee. |
Modifying the record
You can modify an existing personal information record using either the “Correct” or “Update” modification options. If you select the “Correct” option, the system modifies the record without changing the effective dates. If you select the “Update” option, you are to provide a new effective from date and time. The existing record will become ineffective from one minute prior to the new effective from value.
Specify the following:
Modification Option |
Select the required modification option, either “Correct” or “Update” from the drop-down list box. |
New Effective From |
Enter the date and time from which a new version of the record must be created, with the modifications you made. |
Select the “Save” pushbutton to save the details entered.
The following details are displayed in the “Record Statistics” group box.
Created by |
The name of the person who created the personal details |
Created date |
The date on which it was created |
Last modified by |
The name of the person who modified the personal details of the employee. |
Last modified date |
The date on which the personal details were last modified. |
