Recording identification information
Use this page to record the identification information of the employee.
Ensure that you are in the "Create employee file" or “Record personal information” page.
Select the “Record identification information” from the bottom of the page.
The “Record identification information” page appears.
The system displays the following:
Date Format |
The date format that is applicable to the login user. |
The system displays the following in the “Employee details” group box.
HR Setup Unit |
The HR setup unit applicable to the login employment unit. |
Employee |
The unique employee code and name of the employee. The system displays the value selected in the “Select Employee” page. |
Employee Type |
The type to which the employee belongs. For example, regular, contract basis. |
Entering Physiological Information
Specify the following details in the “Physiological Information” group box:
Blood Group |
The blood group of the employee, for example, O positive and AB negative . From the drop-down list box, select the required option. |
Smoker |
Specify whether the employee is a smoker. From the drop-down list box, select the required option, either, “Smoker” or “Not Applicable”. By default, the value will be blank for a new record. |
Height |
The height of the employee. Select the required Unit, that is, centimeters, feet etc., from the drop-down list box beside. |
Weight |
The weight of the employee. Select the required unit, whether kilograms, pounds, etc., from the drop-down list box beside. |
Identification Marks |
Any visible identification marks such as, birthmarks, scars from an injury etc. |
Browse |
Click on this button to attach a file to the employee's record. For example, you can attach a file containing the employee's thumb print. |
To enter identification marks
Select the Book icon beside the “Identification Marks” field. The system displays a dialog box containing the comments that were entered previously, if any.
You can view, modify or delete the content.
Select the “OK” pushbutton to save the details and return to the previous page.
Select the “Cancel” pushbutton to return to the previous page without saving the details entered.
To record identification information
Specify the following details in the “Identification Information” group box:
Note: For a new identification information record, the fields and drop-down list boxes will be blank. By default, the system displays the values specified previously for an existing record.
Identification Type |
The type of document which is used to record identification information such as, passport, driving license etc. From the drop-down list box, select the required option. |
Document No. |
The unique number of the document that is specified in the identification type field. For example, if you specify the identification type as passport, you must specify the unique number of the passport in this field. |
Place of Issue |
The name of the place where the specified document has been issued. For example, if an employee received the driving license at Chicago, mention the place of issue as Chicago. |
Issuing Authority |
The name of the authority who has issued the document. |
Date of Issue |
The date on which the document has been issued. |
Valid From |
The date from which the document is valid. |
Valid Till |
The date till which the document is valid. For example, if the passport of an employee is valid for two years from the date of issue, specify the end date of the valid period in this field. |
Remarks |
The remarks you want to enter pertaining to the identification details of the employee. |
Select the “Save Identification Information” pushbutton to save the details entered or modifications made.
The following details are displayed in the “Record Statistics” group box.

Created date |
The date on which it was created |
Last modified by |
The name of the person who modified the identification details of the employee. |
Last modified date |
The date on which the identification details were last modified. |
