Maintain Proposal – A Summary of the Activity
The “Maintain Proposal” activity enables you to maintain proposal details of the customer.

Maintain Proposal
ØSelect the “Maintain Proposal” activity under “Pre Contracting”.
The “Maintain Proposal” page appears.
ØEnter the following field details in the header:
Proposal ID |
Enter a valid proposal id. This field is mandatory if ‘Numbering Type’ is manual. Mandatory. Help facility available |
Proposal Description |
Enter the proposal description. On entering the proposal id, the description for proposal is displayed. |
Status |
The status of the proposal. The status could be of the following types: · Saved – On clicking “Save” pushbutton · (Pending for Authorization – Create) – On clicking “Submit” pushbutton · (Pending for Authorization – Amend) – On clicking “Amend” pushbutton · Authorized – On clicking “Authorize” pushbutton · Deleted – On clicking “Delete” pushbutton · Rejected – On clicking “Reject” pushbutton |
Version Number |
This field displays the proposal version number. This version number is fetched from the Proposal screen. Mandatory. Note: The version number is updated when there is any change in the entered details after authorization. The version number is updated on clicking “Amend” pushbutton. |
Version Effective Date |
Enter the version effective from date. Mandatory. |
Proposal Date |
Enter the proposal start date. Mandatory. |

4 Proposal – Additional Information
Tab – Maintain Proposal
The “Maintain Proposal” tab enables you to enter the proposal primary details, rate card details and RFQ details of the customer.
ØEnter the following field details under “Proposal Primary Details” section:
Organization Unit |
From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory. |
Numbering Type |
From the drop-down list box, select the required option. The combo is loaded with various numbering type options for you to choose. Based on the selected numbering type, the proposal id is generated on clicking “Save” pushbutton. The system displays “Select” by default on launch of the page. Mandatory. |
Opportunity ID |
Enter a valid opportunity id. Help facility available |
Opportunity Description |
On entering the opportunity id, the description for the opportunity is displayed. |
Prospect Code |
This field is defaulted with the prospect code entered in the Opportunity Screen. From the drop-down list box, select the required prospect code. The combo is loaded with various options for you to choose. Mandatory. |
Prospect Name |
On selecting the prospect code, the name of the prospect is displayed. |
Proposal Stage |
If the proposal is attached to the PO, the proposal status will be “PO Received” and If the proposal is attached to a project, the proposal status will be “Converted”. |
Proposal Submission Date |
Enter the proposal submission date. Mandatory. Note: The “Proposal Submission Date” should not be lesser than “Proposal Date”. |
Probability Success |
On entering the opportunity id, the Probability Success of the opportunity is displayed. |
Billing Type |
From the drop-down list box, select the required billing type. The combo is loaded with various options for you to choose. The system displays “Select” by default on launch of the page. Mandatory. Note: Based on the selected billing type, the relevant tab is loaded in the “Proposal Estimation” screen. |
Primary Department Code |
Enter a relevant primary department code. Mandatory. Help facility available |
Primary Department Name |
On entering the primary department code, the primary department name is displayed. |
Primary Account Manager Code |
Enter a relevant primary account manager code. |
Primary Account Manager Name |
On entering the primary account manager code, the primary account manager name is displayed. |
ØEnter the following field details under “Rate Card Details” section:
Cost Rate Card |
Enter a relevant cost rate card id. Help facility available |
Revenue Rate Card |
Enter a relevant revenue rate card id. Help facility available |
Currency |
The currency type gets defaulted depending on the cost rate card. You are also allowed to select the currency type (if the cost rate card is not provided) from the drop-down list. The combo is loaded with various currency options for you to choose. The system displays “Select” by default on launch of the page. Mandatory. |
Estimated Proposal Value |
Enter the estimated proposal value for the new customers. |
Margin Percentage |
Enter the margin percentage on the proposal. |
ØEnter the following field details under “RFQ (Reference for Quotation) Details” section:
RFQ Reference No |
Enter the RFQ Reference Number for reference. |
RFQ Received Date |
Enter the RFQ Received Date for reference. |
RFQ Due Date |
Enter the RFQ Due Date for reference. |
ØThe following field details are calculated and displayed under “Summary” section on the right side:
Proposal Value |
The proposal value is calculated and displayed in this field. |
Man Power Cost |
The man power cost is calculated based on the cost rate card value entered in the screen. |
Travel Expenses |
The travel expenses entered in the “Maintain Estimation” screen is displayed in the “Maintain Proposal” screen. |
Other Expenses |
The other expenses entered in the “Maintain Estimation” screen is displayed in the “Maintain Proposal” screen. |
Gross Margin (Amount) |
The Gross Margin is arrived by subtracting the total cost from total revenue. Gross Margin = Revenue – Cost. Note: The Gross Margin amount can also be a negative value. |
Gross Margin (%) |
The Gross Margin percentage is calculated using the formula (Revenue – Cost/Cost). Note: The Gross Margin percentage can also be a negative value. |
ØClick “Attach Document 1 and 2” folder to attach any relevant document.
ØClick “Save” pushbutton to save the details entered.
Note: On clicking “Save”, check whether Estimation is created. If estimation is created then you are not allowed to edit “Cost Rate Card”, “Revenue Rate Card”, “Billing Type” and “Currency” fields.
ØClick “Submit” pushbutton to submit the details entered.
Note: On clicking “Submit”, check whether Estimation is created. If estimation is created then you are not allowed to submit the proposal until estimation is submitted.
ØClick “Amend” pushbutton to amend the proposal. The “Status” will be changed to “Amended”.
Note: A proposal is amended only when it is in the authorized status. Also the “Version Number” of the proposal is updated on clicking “Amend” pushbutton. A proposal is amended only when it is amended to a Contract/PO.
ØClick “Authorize” pushbutton to authorize the proposal. The “Status” will be changed to “Authorized”.
Note: A proposal is authorized only if the estimation for that proposal is authorized prior to proposal authorization.
ØClick “Delete” pushbutton to delete the proposal.
Note: A proposal attached to PO cannot be deleted.
ØClick “Reject” pushbutton to reject the proposal.
Tab – Proposal Additional Information
The “Proposal Additional Information” tab enables you to enter the contact details and other additional proposal details of the customer.
ØEnter the following field details under “Customer Contact Details” section:
Contact Person |
Enter the name of the contact person. |
Contact Number |
Enter the contact number of the customer. |
Enter the email id of the contact person. |
ØEnter the following field details under “Other Information” section:
Proposal Type |
From the drop-down list box, select the required proposal type. The combo is loaded with the proposal types defined in quick codes. The system displays “default” on launch of the page. |
Bidding Type |
From the drop-down list box, select the required bidding type. The combo is loaded with the bidding types defined in quick codes. |
Engagement Model |
From the drop-down list box, select the required engagement model. The combo is loaded with the engagement models defined in quick codes. |
Person Incharge Code |
Enter a valid employee code of the person in charge. Help facility available |
Tentative Start Date |
Enter the tentative start date. |
Tentative End Date |
Enter the tentative end date. |
Classification |
From the drop-down list box, select the required classification. The combo is loaded with the classifications defined in quick codes. |
Project Category |
From the drop-down list box, select the required project category. The combo is loaded with the project categories defined in quick codes. |
Project Size |
From the drop-down list box, select the required project size. The combo is loaded with various options defined in quick codes. |
Region Head Code |
Enter a valid employee code of the region head. Help facility available |
Secondary Department Code |
Enter a valid code of the secondary department. Help facility available |
Secondary Account Manager Code |
Enter a valid code of the secondary account manager. Help facility available |
ØClick “Save” pushbutton to save the details entered.
Note: On clicking “Save”, check whether Estimation is created. If estimation is created then you are not allowed to edit “Cost Rate Card”, “Revenue Rate Card”, “Billing Type” and “Currency” fields.
ØClick “Submit” pushbutton to submit the details.
Note: On clicking “Submit”, check whether Estimation is created. If estimation is created then you are not allowed to submit the proposal until estimation is submitted.
ØClick “Authorize” pushbutton to authorize the proposal. The Status will be changed to “Authorized”.

ØClick “Delete” pushbutton to delete the proposal details.
ØClick “Reject” pushbutton to reject the proposal.
ØClick “Estimation” hyperlink in the header of the “Maintain Proposal” page.
The “Maintain Estimation” page appears depending on the Billing Type selected in the “Maintain Proposal” screen.
Note: If estimation is done then the link identifies the related estimation number and fetches the same.
