Invoice Input Consolidation – A Summary of the Activity
This activity allows you to consolidate the authorized Time and production details and confirm the same for invoicing. Screen gives snapshot of booking and invoice summary details.

Invoice Input Consolidation
Ø Select the “Invoice Input Consolidation” activity under “BPO Project Execution”.
The “Invoice Input Consolidation” page appears.
Ø Enter the following field details in the header:
Organization Unit |
From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory. |
Customer |
From the drop-down list box, select the required customer. The combo is loaded with distinct list of customers (customer code and customer name appears in list edit). Mandatory. On selection of customer the related billing rules and projects are reloaded |
The system displays the following in the header:
Date Format |
The date format that is applicable to the login user. Note: All dates are derived from the user preference and displayed (for ex. DD/MM/YYYY, DD/MMM/YYYY, MM/DD/YYYY). |

Billing Rule |
The billing rule associated to the customer is loaded on selecting the customer. The selection of billing rule reloads the project Note: 4 If the billing rule is ‘Flat FTE / Hourly’ then the first multiline and also the summary below first multiline and save is enabled. Second multiline including summary and save are hidden. 4 If the billing rule is other than ‘Flat FTE / Hourly’ then first multiline and summary below first multiline and save are hidden. Second multiline including second summary section and save are enabled. |
Project |
From the drop-down list box, select the required project. The system loads all the projects defined in the respective OU. Customer related projects are loaded Mandatory. Note: The ‘Project’ combo is reloaded when ‘customer’ is selected and further reloaded when ‘billing rule’ is selected. 4 If the billing rule asociated to the project is ‘Flat FTE / Hourly’ then the first multiline and also the summary below first multiline and save are enabled.Second multiline including summary and save are hidden. 4 If the billing rule is other than ‘Flat FTE / hourly’ then first multiline and summary below first multiline and save are hidden. Second multiline including second summary section and save are enabled. |
Consolidated Date Range |
This combo is loaded when ‘project’ is selected and the previous consolidated date ranges are loaded. The number of history records appearing can be controlled by parameter settings. |
New Date Range |
The new date range is defaulted with the selected consolidated date range from and to date. This is entered when the consolidation is done for new period. Mandatory. Note: 4 The consolidated date range From date is entered by the user. It is defaulted with previous month’s calendar Start date if it has not been consolidated. It cannot be before project Start date. 4 The consolidated date range To date is entered by the user. It is defaulted with previous month’s calendar End date if it has not been consolidated. It cannot be after project End date or greater than system date. |
Advance Search
The “Advance Search” section is collapsed on screen launch. The user is allowed to expand this section if he wants to enter additional search criteria.

Role |
This combo is loaded when project is selected from the ‘Project’ combo. This is defaulted with blank on launch of the page. |
Site |
From the drop-down list box, select the required option. The combo is loaded with the values “Onsite”, “Offshore” and “Onshore” for you to choose. Note: The values loaded here are same as the values loaded in “Site” combo in “Time Management > Timesheet Billing and Administration > Employee Project Assignment” screen. |
Timesheet Consolidation Status |
From the drop-down list box, select any one of the following statuses to retrieve the time booking entry details of a specific status: 4 Saved – The ‘Saved’ records will bring the entries already saved in the consolidation 4 Pending for Consolidation – The ‘Pending for Consolidation’ will bring the time entries which are authorized but yet to be saved in consolidation in this screen 4 Revoke Confirmation – The ‘Confirmation Revoked’ records will bring the entries for which confirmation has been revoked 4 Confirmed – The ‘Confirmed’ records will bring the entries which have been confirmed for invoicing |
Name |
Enter the name. This is hidden for Flat FTE / hourly projects Note: Wild card search is allowed here |
Activity/Process/Transaction |
The combo is reloaded when ‘Project’ combo is selected. This is hidden for Flat FTE / hourly projects Note: 4 For projects whose billing rule is Flat FTE / hourly or productivity based FTE / hourly,“Activity” is loaded 4 For projects whose billing rule is Transaction based or Transaction slab based, “Process” is loaded 4 For projects whose billing rule is Outcome based or outcome moving average, “Transaction” is loaded. |
System |
The “System” combo is reloaded when project is selected. This is hidden for Flat FTE / hourly projects |
Ø Click “Get Details” pushbutton. The system displays the following details in the multiline based on the search criteria:

The relevant PO/SOW ID. |
Project |
The relevant project code. |
Project Name |
The relevant project description / name. |
Billing Rule |
The relevant project billing rule. |
Date |
The relevant date in the consolidated date range is displayed. At least one authorized time and production record should exist during the selected period Relevant Holiday master is referred from BPO Project Attributes and holiday dates will not appear in this screen 4 The date of Saturdays and Sundays appear depending on the Project additional attribute setting. 4 Working dates within the consolidated period are displayed 4 If project additional details attribute 1 is set as “Include saturday and Sunday” then Saturdays / Sundays dates appear provided there in billable hours booked on those dates Note: Even when there is no billable hours booking on a working day the relevant date will be displayed |
Booked FTEs |
The count of distinct number of employees booked in that date. Even if the employee has booked one hour in that date in “Billable hours” column, it will be considered as 1 FTE. Each entry against “Role, Site and Location” is considered separately. |
Invoiceable FTE |
If the FTE cap applicable check box is ticked in BPO project attributes then billable FTE cap or Booked FTE whichever is less is defaulted. If FTE cap applicable is not checked then Booked FTE is directly defaulted |
Booked Billable Hours |
Sum up the entered billable hours booked by the respective role in site and location combination and display the same |
Invoiceable Hours |
Invoiceable FTE * Standard hours per day (entered in BPO Project Attributes). |
Role |
The role against which the relevant booking has been done. |
Site |
The site against which the relevant booking has been done. The site description “onsite / offshore / onshore” is displayed. |
Rate Card Location |
The location against which the relevant booking has been done. |
Consider for Invoicing |
This combo is defaulted with “Yes”. Mandatory. |
Confirmed |
4 If the record is yet to be saved in “Invoice Input Consolidation” screen then the same is displayed under “Pending for Consolidation” status. 4 If the record has been saved then the same is displayed under “Saved” status. 4 If the record is confirmed for invoicing then the same is displayed under “Confirmed” status. |
Remarks |

Summary
The following field details are displayed under the “Summary” section:
Total Booked FTEs |
The summation of booked FTE column / count of dates shown in the multiline. |
Total Billable FTEs |
The summation of Invoiceable FTE column / count of dates shown in the multiline. |
Total Booked Hours |
The summation of Booked Hours column. |
Total Billable Hours |
The summation of Invoiceable Hours column. |
Ø Click “Confirm”. All validations of save are performed and the status is changed to “Confirmed”.
Ø Click “Revoke Confirmation”. If the line is not invoiced then revoke confirmation is allowed. The status is changed to “Confirmation revoked”.
The following multiline is enabled for projects whose billing rule is not Flat FTE / Hourly:

Billable Units |
The billable units booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for this attribute if the same is not assigned in “BPO Project Attribute” screen. |
Non Billable Units |
The Non billable units booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for this attribute if the same is not assigned in “BPO Project Attribute” screen. |
Pended Units |
The Pended units booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for this attribute if the same is not assigned in “BPO Project Attribute” screen. |
Carry Forward Units |
The Carry Forward units booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for this attribute if the same is not assigned in “BPO Project Attribute” screen. |
No Charge Units |
The No Charge units booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for this attribute if the same is not assigned in “BPO Project Attribute” screen. |
Item Attribute 6,7,8,9 and 10 |
The item attributes booked in Time and Production Booking against the relevant booking id is displayed. Note: 4 This can be edited by the user. When edited, the edited value is stored separately in tables. The edited value is displayed in the front end. The edited value cannot be negative. 4 “User cannot enter the value for these attributes if the same is not assigned in “BPO Project Attribute” screen. |
Invoiceable Units |
Billable units are summed and displayed. The attributes billability is assigned in BPO project attributes. |
UOM |
Display the relevant UOM associated to billable attributes. Note: There is validation in BPO project attributes to ensure that the UOM of billable attributes are same. And once the entry is authorized, the Billable UOM of project cannot be changed. |
Hours Spent |
The total hours spent booked against the relevant booking id. Note: This is summation of billable and non-billable Hours column booked in Time and Production Booking. |
Role |
The role against which the relevant booking has been done. |
Site |
The site against which the relevant booking has been done. The site description “onsite / offshore / onshore” is displayed. |
Rate Card Location |
The location against which the relevant booking has been done. |
Consider for Invoicing |
This combo is defaulted with “Yes”. Mandatory. |
Confirmed |
4 If the record is yet to be saved in “Invoice Input Consolidation” screen then it is displayed as “Pending for Consolidation”. 4 If the record has been saved then it is displayed as “Saved”. 4 If the record is confirmed for invoicing then it is displayed as “Confirmed”. |

Booking Summary
The “Booking Summary” chart section shows the values of billable attributes booked in Time and Production Booking. Refer SRP BPO - BPO project execution - BPO Project attributes. The attributes billability is marked there.
Note: On the selected date range the attributes could have been updated and billability could have been changed. If the attribute is billable even on one day the same will appear in chart. Units booked and authorized in Time and Production Booking is summed and shown. For example if consolidated date range is for a month 1st Jan to 31st Jan. Pended unit is marked as billable till 15th Jan and then it is changed as billable No. The pended units will appear in chart and the units booked from 1st to 15th when the attribute was ‘billable yes’ will be summed and the same to be displayed in chart.
Other Attributes
The “Other Attributes” section shows the non-billable attributes booked in Time and Production Booking. Refer SRP BPO - BPO project execution - BPO Project attributes. The attributes billability is marked there.
Note: On the selected date range the attributes could have been updated and billability could have been changed. If the attributes are marked as billable No, even on one day the same will appear in this section. The units booked and authorized in time and production booking is summed and displayed. For example if consolidated date range is for a month 1st Jan to 31st Jan. Carry forward unit is marked as non-billable till 15th Jan and then it is changed as billable Yes. The Carry forward units will appear in Other Attributes and the unit booked from 1st to 15th when the attribute was billable No will be summed and the same to be displayed.
The following details are displayed in the Booking Summary multiline:
Attribute |
The non billable attributes booked in Time and Production Booking. Note: 4 When billing rule of the project selected is productivity based FTE / Hourly display Booked FTE which is computed as follows: 1. Actual production (Billable attributes booked in time and production booking is summed up) 2. Target production arrived as Target per day * working days during the consolidated date range period 3. Actual production divided by Target Production 4 When billing rule of the project selected is productivity based FTE / Hourly display Booked Hours which is computed as follows: Summation of hours spent during the consolidated date range. (Sum up both billable and non billable hours column) |
Units |
The summed up units of non billable attributes during the consolidated date range. Note: UOM could have changed in mid as well. So refer attributes billability and UOM. If the UOM has changed the same will be displayed separately. The units will be summed up accordingly. The units booked in time and production booking and authorized are summed up |
UOM |
The UOM of respective non billable attribute. Note: 4 When billing rule is productivity based FTE / hourly booked FTE is displayed. The UOM for the same is FTE 4 When billing rule is productivity based FTE / hourly, booked Hours is displayed. The UOM for the same is Hours |
Invoice Summary
“Invoice Summary” chart section shows the values of billable attributes edited in Invoice input consolidation. Only the line which are marked as consider for invoicing “yes” is considered in this section. Refer SRP BPO - BPO project execution - BPO Project attributes. The attributes billability is marked there.
Note: On the selected date range the attributes could have been updated and billability could have been changed. So the attributes which are marked as billable even on one day will appear in chart. The units edited in invoice input consolidation screen is considered and summed up. For example if consolidated date range is for a month 1st Jan to 31st Jan. Pended unit is marked as billable till 15th Jan and then it is changed as billable No. The pended units will appear in chart and the units from 1st to 15th when the attribute was billable yes will be summed and the same is displayed in chart.
Other Attributes
In other attributes section the non-billable attributes edited in Invoice input consolidation is shown. Only the line which are marked as consider for invoicing “yes” is considered in this section. Refer SRP BPO - BPO project execution - BPO Project attributes. The attributes billability is marked there.
Note: On the selected date range the attributes could have been updated and billability could have been changed. The attributes which are marked as billable No even on one day will appear in this section. Sum up the units from Invoice input consolidation. Consider the attributes marked as billable No. For example if consolidated date range is for a month 1st Jan to 31st Jan. Carry forward unit is marked as non billable till 15th Jan and then it is changed as billable Yes. The Carry forward units will appear in Other Attributes and the unit booked and edited from 1st to 15th when the attribute was billable No will be summed and the same to be displayed.
