Copying schedule details

 

Basics of using a Ramco Enterprise Series Web page

This page allows you to make a copy of the schedule in another finance book or in another company. You can select the organization unit or the company and the finance book to which the details must be copied. The account codes that are available in the selected schedule must also be present in the destination finance book. The account codes must be in an “Active” status. If the sub schedule of the schedule that is being copied exists in the destination finance book, you must delete the sub schedule before proceeding with the copy process.

The “Copy Schedule” page appears.

The system displays the following:

Schedule No

The number identifying the schedule.

Schedule Description

A textual description of the schedule.

 

Zoom facility available

Schedule Classification

Indicates the category under which the schedule is classified. It could be “Balance Sheet”, “Income Statement” or “Cash Flow Statement”.

Chart of Accounts ID

The code identifying the operative chart of accounts to which the accounts that fall under this schedule are mapped to.

Chart of Accounts Type

The type of the chart of accounts to which the ID belongs.

Source Company

The login organizational unit in which the schedule has been created.

Source Book Type

Indicates the type of finance book in which the schedule has been created. It could be “Posting finance book”, “Posting tax book”, “Main finance book”, “ Main tax book”, or “Consolidation finance book”.

Source Finance Book

The code identifying the finance book in which the schedule has been created.

Destination Company

Use the drop-down list box to select the code identifying the organizational unit to which the schedule must be copied. All the organizational units that are mapped to the login organization unit will be available for selection in the ascending order.

Note: If this business component has been deployed at the company level and has multiple companies defined under it, all the codes identifying the group companies will be available for selection.

The company or organization unit that have chart of accounts similar to that of the login organization unit will be available for selection in the ascending order.

The system displays the following:

Destination Book Type

The type of the source finance book.

Destination Finance Book

Use the drop-down list box to select the code identifying the finance book into which the schedule details must be copied. All the finance books that have been mapped to the login organization unit will be available for selection.

New Schedule No

A unique number identifying the schedule (Alphanumeric, 18). Mandatory.

Schedule Description

A textual description of the schedule (Alphanumeric, 100). Mandatory.

Note: The account codes mapped to the schedules and being copied must have been defined earlier in the selected destination finance book.

Account Code / Schedule No

The code identifying the account or the number identifying the schedule.

Description

The description of the account or the schedule.

Account Group

The group to which the account belongs. It could be “Asset”, “Liability”, “Capital”, “Revenue” or “Expenditure”.

Sequence No

A sequential order in which the account codes or schedule numbers must be available in the new schedule

Account Balance

Indicates the balance that will be displayed when schedule is generated. It could be “Closing Balance”, “Period Credit”, “Period Debit”, “Period Amount” or “Opening Balance”.

Add / Subtract

Indicates whether the balances of the groups have been added or subtracted.

Print / View

The type of balance that you want to print or view in the statement.

Note:  If a sub schedule of the schedule that is to be copied exists in the finance book into which the details are being copied, it must be deleted.

The account codes that are available in the selected schedule must exist in an “Active” status in the finance book in which the details are being copied to.

The system saves the schedule details and updates the status as “Active”.
