Basics of using a typical web page

This page allows you to view a comparison between the budget and the actuals of the selected account. Tell me more.

The “View Account Budget vs Actuals” page appears.

Finance Book

Use the drop-down list box to select the code identifying the finance book in which the account for which you want to view the comparison between the budget and the actuals is posted. All the “Active” finance books that are mapped to the login organizational unit will be available for selection in the ascending order.

Financial Year

Use the drop-down list box to select the financial years available in the selected finance book in which the account for which you want to view the comparison between the budget and the actuals is posted. All the financial years defined for the login organizational unit will be available for selection.

Financial Period

Use the drop-down list box to select the financial period corresponding to the financial year selected. All the financial periods defined for the selected year will be available for selection.

Account Group

Use the drop-down list box to select the group to which the account belongs. You can select from “Asset”, “Liability”, “Capital”, “Revenue”, “Expenditure” or “All”.

Control Action

Use the drop-down list box to select the control action defined for the account budget from “Hold” or “Ignore”. This control action must have been set in the “Create Account Budget” activity of the “Account Based Budget” business component.

 
  •      Hold – indicates that the transactions must be put on hold once the budget set for it has been exceeded. These transactions would continue to be on hold till the budget has been increased for the account.

 
  •    Ignore – indicates that the transactions can exceed the budget that has been set for the account.

The system displays “Blank” by default at the launch of the page.

Currency

Use the drop-down list box to select the ISO code identifying the currency in which the account is transacted. All the currencies that have been mapped to the login organizational unit will be available for selection in the alphabetical order. The system displays “All” by default at the launch of the page.

Account Code From

The starting code in the range of account codes within which the code you want to retrieve falls (Alphanumeric, 32). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the account codes that are similar to the value entered here.

To

The ending code in the range of account codes within which the code you want to retrieve falls (Alphanumeric, 32). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the account codes that are similar to the value entered here.

Description

A textual description of the account code (Alphanumeric, 40). You can enter the description in full or specify it partially using the “*” character. The system retrieves all the account descriptions that are similar to the value entered here.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Account Code

The code identifying the account.

Description

The description of the account.

Budget Amount

The amount that has been budgeted for the account for the financial year.

Utilized Amount

The amount that has been utilized till date in the financial year. The amount could be a positive or negative balance amount.

Variance Amount

The difference between the budgeted amount and the utilized amount.

Variance %

The percentage of the variance.

Note:  The system calculates the percentage of variance only when the budget amount is not equal to zero. The system displays the variance percentage with a positive sign if the budget amount is greater than the utilized amount. The system displays the variance percentage with a negative sign if the budget amount is lesser than the utilized amount.

Currency

The ISO code identifying the currency of the account.

Account Group

The group to which the account belongs. It could be “Asset”, “Liability”, “Capital”, “Revenue” or “Expenditure”.

The system displays the following:

Total Budget Amount

The sum total of the budget amount.

Total Utilized Amount

The sum total of the utilized amount.

Total Variance Amount

You can carry out a search to retrieve the account codes for which you want to view the comparison of the budget and the actual. You can carry out a search by specifying the account group to which the account code has been mapped.
