This page allows you to create a cost center structure. Tell me more.

The “Create Cost Center Structure” page appears.

Cost Center Structure ID

A unique code identifying the cost center structure (Alphanumeric, 10). Mandatory.

Description

A textual description of the cost center structure (Alphanumeric, 40). Mandatory.

Note: The description of the cost center structure must be different from that of the cost centers that are to be added to the structure.

Structure Type

Use the drop-down list box to select the type of cost center structure that you want to create. You can select from “Default” or “Alternate”.

 
  • Default – indicates that it is the only default structure for the date range.

 
  • Alternate – indicates that multiple structures other than the default structure could be available for a date range.

 

The system displays “Alternate” by default on launch of the page.

Effective Date

Use the drop-down list box to select the date from which the cost center structure is to be effective. All the start dates of the MAC periods that have been defined for MAC years that are in the “Open” status will be available for selection in the chronological order. The system displays the earliest “Open” MAC period by default.

Note: The date selected in this field must be the same or after the date selected in the “Expiry Date” field.

Expiry Date

Use the drop-down list box to select the date till which the cost center structure is effective. All the end dates of the MAC periods that have been defined for MAC years that are in the “Open” status will be available for selection in the chronological order. The system displays the latest “Open” MAC period by default.

Type

Use the drop-down list box to select whether you want to retrieve a “Group” or a “Detail” cost center. The system displays “Group” by default on launch of the page.

Cost Center From

The starting code in the range of cost center codes that you want to retrieve (Alphanumeric, 10).

Note: The code entered in this field must be before or the same as the code entered in the “To” field.

To

The ending code in the range of cost center codes that you want to retrieve (Alphanumeric, 10).

The system retrieves the following in the “Cost Center Details” multiline based on the search criteria entered:

Note: The system retrieves all the cost centers / units that are in the “Active” status.

Cost Center / Unit

The code identifying the cost center / unit.

Description

The description of the cost center / unit.

Effective Date

The date from which the cost center / unit is effective.

Expiry Date

The date on which the effectiveness of the cost center / unit expires.

Note: The effective date or the expiry date of the selected cost centers / units must at least partly be within the effective date and the expiry date of the cost center structure. Refer Example1.

Map To

Use the drop-down list box to select the group cost center to which the cost center must be mapped. All the cost centers that have been set as “Group” will be available for selection in the ascending order. The system displays “Blank” by default on launch of the page. Refer Example 2.

Note: You can map a cost center / unit to a cost center structure only once.

The system maps the selected cost centers available in the multiline to the selected cost center available in the “Map” field. The system also displays the details of the cost center and the mapping in the “Structure Details” multiline.

The system displays the following in the “Structure Details” multiline:

Level

The number identifying the hierarchy level in which the cost center / unit is available in the structure.

Cost Center / Unit

The code identifying the cost center / unit.

Description

The description of the cost center / unit.

Parent Cost Center / Unit

The code identifying the parent cost center / unit to which the cost center has been mapped.

Note: “Blank” would be displayed in this field if the cost center does not have a parent cost center / unit.

Description

The description of the parent cost center / unit.

The system saves the details of the cost center structure. The system updates the status of the cost center structure as “Active”. The system updates the login ID of the user and the system date in the “Created By” and “Created Date” fields.

The system displays the following:

Created By

The login ID of the user who created the cost center structure.

Created Date

The date on which the cost center structure was created.

Creating cost center structure – An overview

Activity overview

You can set the type of the cost center structure and the date range during which the cost center would be effective. This page also allows you to retrieve cost centers that must be mapped to the structure. You can retrieve both “Group” and “Detail” cost centers that can be mapped to the cost center structure. The detail cost centers that have been retrieved can be mapped to the group cost centers at various levels, thereby creating a hierarchy of the newly created cost center structure. Group cost centers can have group or detail cost centers under it, but each independent node of the structure should end up with a detail cost center. The cost centers must be unique in a cost center structure. The system also updates the status of the cost center structure as “Active”. The system also stores the login Id of the user and the system date along with the newly created cost center structure details.

 

 

 

 

 

 

 

 

 

 

 

Example 1:

Cost Centers CC1, CC2 and CC3 are to be mapped to a group GCC1. The following could be the dates during which a cost center structure and the various cost centers are effective.

When CC1 is set as “Group”, no cost centers would be available in the “Map” field.

When CC2, CC3 & CC3 are set as “Group”, CC1 will be available for selection in the “Map” field.

When CC5 & CC6 are set as “Group”, CC2, CC3 will be available for selection in the “Map” field.

When CC7, CC8, CC9 & CC10 are selected as “Detail”, CC2, CC3, CC5 & CC6 will be available for selection in the “Map” field.
