This activity allows you to pass adjustment entries subsequent to the consolidation of the finance books. Tell me more.
Select the “Create Adjustment Entry” link under the “Finance Book Consolidation” business component.
The “Create Adjustment Entry” page appears.
The system displays the following:
Status |
The status of the voucher. It must be “Authorized”. |
Enter the following fields:
Voucher # |
A unique number identifying the adjustment entry voucher (Alphanumeric, 18). Mandatory. This number is generated and displayed by the system, when the “Create Adjustment Entry” pushbutton is clicked. The number is displayed with the corresponding prefix and suffix of the numbering type selected in the “Numbering Type” field. The number is incremented from the last number available in the “Numbering Class” business component. |
Note: This field must not be left blank if “Manual” has been selected in the “Numbering Type” field.
Transaction Date |
The date on which the voucher is recorded in the finance book (Date Format). Mandatory. The date entered in this field must fall within an “Open” or “Provisionally Closed” financial period. |
Note: The date entered in this field must also be the same as or before the system date.
Finance Book |
Use the drop-down list box to select the code identifying the finance book in which the adjustment entry must be passed. The “Main” finance books that have been defined for the login company will be available for selection. |
Numbering Type |
Use the drop-down list box to select the numbering type for the login organization unit and the “Finance Book Consolidation - JV” transaction type. The numbering types must have already been defined in the “Numbering Class” business component and must be in “Active” status. The system displays the numbering type set as default for the transaction in the “Numbering Class” business component. |
Remarks |
Any comments or observations regarding the voucher (Alphanumeric, 255). |
Reporting Structure |
Use the drop-down list box to select the code identifying the reporting structure for which you want to record the adjustment entry. All the reporting structures that have been defined for the login organization and that are in the “Active” status will be available for selection in the ascending order. The system leaves the field blank by default. |
Enter the following fields in the “Accounting Information” multiline:
Note: Data-entry for a debit and the corresponding credit of account code is mandatory in this multiline.
Account # |
The code identifying the account for which adjustment entry is being created (Alphanumeric, 32). Mandatory. |
Help facility available |
Note: The code entered in this field must have been included in the list of codes for which journal vouchers can be passed in “Accounting Setup” business component. The account code must not be a control account or an automatic posting account.
Dr / Cr |
Use the drop-down list box to set whether the adjustment entry must be debited or credited in the account code. You can select from “Dr” or “Cr”. The system displays “Dr” by default on launch of the page. |
Transaction Currency |
Use the drop-down list box to select the code identifying the currency in which the transaction has occurred. All the permitted currencies of the company will be available for selection. The system displays the base currency of the company by default on launch of the page. |
Transaction Amount |
The transaction amount (Decimal). Mandatory. The value entered in this field must be equal to or greater than zero. |
Exchange Rate |
The exchange rate of the transaction currency with respect to the base currency of the company if they are different (Decimal). “1” (one) will be displayed if the transaction currency and the base currency of the company are the same. The system displays “1” if the base currency of the company has been selected in the “Transaction Currency” field. |
Note: The modified exchange rate must fall within the percentage of tolerance set in the “Exchange Rate” business component.
The system displays the following in the “Accounting Information” multiline:
Base Amount |
The transaction amount in the base currency of the company. The system calculates and displays this amount as the product of the transaction amount and the exchange rate. |
Enter the following fields in the “Accounting Information” multiline:
Remarks |
Any observations or comments pertaining to the amount that has been debited or credited (Alphanumeric, 255). |
Cost Center |
The code identifying the cost center to which the account code has been mapped through a cost element (Alphanumeric, 10). The cost center must have been defined in the “Cost Setup” business component. |

Note: This field must not be left blank if an account code has been mapped to a cost center.
Analysis # |
The analysis code to which the account is mapped in the “Account Based Budgeting” business component (Alphanumeric, 5). |

Note: This field must not be left blank if the parameter for the applicability of the analysis code has been set as “Yes” at the company level.
Sub Analysis # |
The sub analysis code to which the analysis code is mapped in the “Account Based Budgeting” business component (Alphanumeric, 5). |
Check the box in the “Select” column of the multiline to mark the account codes that must be removed if information has been wrongly entered.
Click the “Compute Totals” pushbutton to calculate the totals in the transaction currency and the base currency of the company.
The system calculates and displays the debit and credit totals in the transaction currency and the base currency of the company.
The system displays the following:

Debit Total |
The sum total of all the debited transaction amounts if the currency is the same for all the legs of the transactions. |
Credit Total |
The sum total of all the credited transaction amounts if the currency is the same for all the legs of the transactions. |
Note: The system displays “0” in the “Debit Total” and the “Credit Total” fields if the transactions have occurred in different currencies. The debit total must be equal to the calculated credit total.
Base Amount |

The sum total of the all the debited transaction amounts in the base currency of the company. |
Credit Total |
The sum total of all the credited transaction amounts in the base currency of the company. |
Note: The debit total and the credit total in the base currency of the company must be equal.
Click the “Create Adjustment Entry” pushbutton to create the voucher.
The system generates a unique number identifying the voucher if you have opted for an automatic numbering type. The system saves the details of the vouchers and also updates its status as “Authorized”. The system calculates and stores the transaction amount for the individual account codes in the parallel base currency of the company (if applicable). The system also updates the login ID of the user and the system date in the “Created By” and the “Created Date” fields.
