This page allows you to set the combination of account properties for which journal vouchers can be passed in the “Posting” finance book, “Main” finance book, “Tax” book or the “Consolidation” finance book. Tell me more.

The “Maintain Posting Rule” page appears.

Journal Voucher Type

Use the drop-down list box to select the type of journal voucher for which you want to allow or disallow posting for a combination of account properties or account codes. You can select from “Posting Book JV”, “Tax Book JV”, “Main Book JV” or “Consolidation Book JV”.

 
  • Posting Book – indicates the journal vouchers that are passed in the “Posting” finance book of a company.

 
  • Tax Book – indicates the journal vouchers that are passed in the “Tax” finance book of a company.

 
  • Main Book – indicates the journal vouchers that are passed in the “Main” finance book of a company.

 
  • Consolidation Book – indicates the journal vouchers that are passed in the “Consolidation” finance book of a company.

 

The system displays the different types in the alphabetical order on launch of the page.

Effective From Date

The date from which the defined posting rule is effective (Date Format). Mandatory. The system date is displayed by default on launch of the page.

Note: The date entered in this field must be after the system date. The date entered in this field must also be after the previous effective date.

Account Code From

The starting code in the range of account codes from which you want to retrieve the account code for which you want to allow or disallow posting of journal vouchers (Alphanumeric, 32). You can enter the account code in full or specify it partially using the “*” character. The system retrieves all the account codes that are similar to the code entered in this field.

Note: The code entered in this field must be before the code entered in the “To” field.

To

The ending code in the range of account codes till which you want to retrieve the account code for which you want to allow or disallow posting of journal vouchers (Alphanumeric, 32). You can enter the account in full or specify it partially using the “*” character. The system retrieves all the account codes that are similar to the code entered in this field.

Status

Use the drop-down list box to set whether you want to retrieve account codes that already allow posting of journal vouchers. You can select from “Included”, “Excluded” or “All”.

 
  • Included – indicates that all the account codes that already allow posting of journal vouchers will be retrieved.

 
  •  Excluded – indicates that all the account codes that do not allow posting of journal vouchers will be retrieved.

 
  • All – indicates that all the account codes irrespective of whether it allows or disallows posting of journal vouchers.

 

The system displays “All” by default on launch of the page.

The system retrieves and displays the account details in the “Exception Details” multiline based on the search criteria entered.

Note: If “Consolidation Book” is selected as the “Journal Voucher Type”, the system retrieves the account codes specified in the “Search Criteria” group box from the “Consolidation Chart of Accounts”.

Account Classification

Use the drop-down list box to set the category of the account code for which you want to allow or disallow posting of journal vouchers. You can select from “Balance Sheet”, “Income Statement” or “Retained Earnings”.

Account Group

Use the drop-down list box to set the group of the account code for which you want to allow or disallow posting of journal vouchers. You can select from “Assets”, “Liability”, “Capital”, “Revenue” and “Expenditure”.

Control Account Type

Use the drop-down list box to set the type of control account for which you want to allow or disallow posting of journal vouchers. You can select from “Supplier Payable Account”, “Supplier Prepayment Account”, “Supplier Deposit Account”, “Customer Receivable Account”, “Customer Prepayment Account”, “Customer Deposit Account”, “Bank Cash PTT Account”, “Input VAT”, “Output VAT”, “Asset Account”, “Depreciation Account”, “Revalued Depreciation Account”, “Cumulative Depreciation Account”, “Revalued Cumulative Depreciation Account”,  “Revaluation Reserve Account”, “Loss on Revaluation Account”, “Gain on Revaluation Account”, “Capital WIP Account” or “Revaluation Asset”. The system displays “Blank” by default on launch of the page.

Note:  If “Consolidation” is selected in the “Journal Voucher Type” field, “Blank” must be selected by default in this field.

Automatic Posting Account Type

Use the drop-down list box to select the type of automatic posting account to which the operative account that you want to retrieve belongs. You can select from “Cost of Goods Sold Suspense Account”, "Consignment Stock in Transit Account", “Fixed Asset Suspense Account”, “Freight Control Account”, “Gain on Sale of Asset Account”, “Inter Customer Transfer Account”, “Inter Supplier Transfer Account”, “Item Variance Account”, “Loss on Sale of Asset Account”, “Purchase Stock in Transit Account”, “Purchase Suspense Account”, “Residual Write Off Account”, “Retained Earnings Account”, “Rounding Off Account”, “Sales Stock in Transit Account”, “Scrap Account”, “Stock Suspense Account”, "Stock Transfer SIT Account", “Supplier Suspense Account”, “Trading Stock Account”, or “WIP Adjustment Account”.  The system displays "All" by default at the launch of the page.

Note:  If “Consolidation” is selected in the “Journal Voucher Type” field, “Blank” must be selected by default in this field.

Account Code

The code identifying the account for which you want to allow or disallow posting of journal vouchers (Alphanumeric, 32).

The system displays the following in the “Exception Details” multiline:

Status

The status of the account code. It could be “Included” or “Excluded”.

 
  • Included – indicates that the account code allows posting of journal vouchers

 
  •   Excluded – indicates that the account code disallows the posting of journal vouchers.

Effective From Date

The date from which the account property combination or the account must allow or disallow posting of journal vouchers (Date Format). Mandatory. The date entered in this field can be earlier or later than the system date.

Effective To Date

The date from which the account property combination or the account must allow or disallow posting of journal vouchers (Date Format). Mandatory. The date entered in this field must be after the system date.

Note: The selected account property combination must be a standard predefined combination.

Note: You cannot include an account property combination that already exists in the “Included” status for the same date range.

The system saves the details of the selected combination and updates the status of the combination as “Included”. The system allows the posting of journal vouchers for the selected combination of account properties or for the selected account code from the start of the effective date period.

The system updates the login ID of the user and the system date in the “Created By” and the “Created Date” fields, the first time this account property combination or account code is selected for inclusion.

The system updates the login ID of the user and the system date in the “Last Modified By” and the “Last Modified Date” fields when the posting rule is modified.

Note: You cannot include an account property combination that already exists in the “Excluded” status for the same date range.

The system saves the details of the selected combination and updates the status of the combination as “Excluded”. The system disallows the posting of journal vouchers for the selected combination of account properties or for the selected account code from the start of the effective date period.

The system updates the login ID of the user and the system date in the “Created By” and the “Created Date” fields, the first time this account property combination or account code is selected for exclusion.

The system updates the login ID of the user and the system date in the “Last Modified By” and the “Last Modified Date” fields when the posting rule is modified.

The system displays the following:

Created By

The login ID of the user who created the posting rule.

Created Date

The date on which the posting rule is created.

Last Modified By

The login ID of the user who last modified the posting rule.

Last Modified Date

The date on which the posting rule was last modified.
