Manage Warehouse Stock Transfer – A summary of the activity
This activity enables you to create and authorize intra warehouse stock transfers in a short time. However, to achieve this, you must possess user rights for authorization of the intra-warehouse transaction. Alternatively, you may just choose to create a stock transfer in this activity.
This activity facilitates the transfer of unallocated quantities of parts from a zone/bin to another zone/bin in a warehouse. However, such transfer of parts can be carried out only in warehouses of type ‘Normal’.
You can search and find unallocated quantities of parts that you wish to transfer by means of a search. You may specify the warehouse, zone, bin and, part number and description for the search to retrieve the parts you wish to transfer within the warehouse. You may also provide additional attributes of the part including, type, category, stock status, trading partner, condition and shelf life to facilitate an advanced search to retrieve parts that must be transferred to another zone/bin of a warehouse. The search provides information on the quantity available in stock in the warehouse/zone/bin that is not yet allocated to any material request.

ØSelect the “Manage Intra-warehouse Stock Transfer” link from the “Stock Transfer” business component.
The “Manage Intra-warehouse Stock Transfer” page appears.
ØEnter the following to search for parts/warehouse/bin/zone in the “Search Parts” group box.
Warehouse # |
Use the drop-down list box to select the warehouse of the intra-warehouse stock transfer. Mandatory The system lists all the “Active” warehouses of type “Normal” from the “Storage Administration” business component. The system displays all these warehouses in the alphabetical order. The system retrieves all unallocated parts from the warehouse that you select here. Do not specify any warehouse to retrieve unallocated parts from all zones and bins of the warehouse. Note: You as the login user must have access rights for the warehouse that you select here to enable the transfer. |
Zone #/Bin # |
The zone and bin from which parts must be transferred in the warehouse. Enter the zone number in the first input box. You can enter the zone number in full, or specify partially using the “*” character. The system retrieves unallocated parts from the zone that you enter here. Do not specify any zone # to retrieve unallocated parts from all zones and bins of the warehouse. Enter the bin number in the second input box. You can enter the bin number in full, or specify partially using the “*” character. The system retrieves unallocated parts from the bin that you enter here. Do not specify any bin # to retrieve all unallocated parts from all the bins of the zone. |
Part #/Mfr. Part #/Description |
The number and description of the part that you wish to transfer to another zone and bin in the warehouse. Enter the part number/manufacturer part number in the first input box. You can enter the part number/manufacturer part number in full, or specify them partially using the “*” character. The system retrieves those parts from the specified warehouse with the number that is similar to the number you enter here. Leave the field blank to retrieve all parts from the selected warehouse, regardless of the part number/manufacturer part number. Enter the part description in the second input box. You can enter the part description in full, or specify partially using the “*” character. The system retrieves those parts from the specified warehouse with the description that is similar to the description you enter here. Leave the field blank to retrieve all parts from the selected warehouse, regardless of the part description. Leave both the fields blank to retrieve all parts from the selected warehouse |
ØSpecify additional attributes of parts that you wish to search and find in the “Addl. Search Criteria” group box.
Stock Status |
Use the drop-down list box to select the stock status of the part. The drop-down list box lists all the “Active” warehouses as defined in the User Defined Stock Status business component. The system displays all the stock statuses in the alphabetical order. The system retrieves those unallocated parts from the warehouse with the stock status that you select here. To retrieve all unallocated parts from the warehouse regardless of the stock status, do not select any stock status from the drop-down list box. |
Addl. Part Info. |
Use the drop-down list box to select an attribute of the part that you wish to retrieve by the search. The drop-down list box displays the following: Part Type, Part category, Part Classification and Primary Part Group. Use the second drop-down list box to select the value of the part attribute. |
Trading Partner # |
Use the drop-down list box to select the trading partner type. The drop-down list box displays the following: Supplier, Customer and Owned. Specify the number of the trading partner in the input box provided alongside. You can enter the trading partner number in full, or specify them partially using the “*” character. The system retrieves those unallocated parts associated with the trading partner type and the trading partner that you specify here. Do not specify any trading partner number to retrieve all parts under the ownership selected in the drop-own list box. If you do not specify the trading partner number, the system retrieves those unallocated parts with the ownership that you select here. |
Condition |
Use the drop-down list box to select the condition of the part. The drop-down list box displays the following: New, Overhauled, Phased Out, Serviceable and Unserviceable. The system retrieves those unallocated parts from the warehouse that exist in the condition you select here. To retrieve all unallocated parts regardless of the condition, do not select any condition from the drop-down list box. |
Serial/Lot Info. |
Use the drop-down list box to select the serial/lot attribute that you wish to provide for the search. The drop-down list box displays the following: Serial #, Mfr. Serial #, Lot # and Mfr. Lot #. Specify the value of the attribute in the input box provided alongside. You can enter the serial/lot number in full, or specify partially using the “*” character. The system retrieves those parts with the serial/lot number that is similar to the number you enter here. |
Shelf Life? |
Use the drop-down list box to indicate whether part is shelf life-controlled or not. The drop-down list box displays Yes and No. The system retrieves those parts that have specific shelf life, if you select ‘’Yes’ here. Those parts that do not any shelf life are retrieved, if you select ‘No’ here. |
Show same parts in Different Zone #/ Bin # |
Select the check box to retrieve parts that are available in more than one zone/bin of the warehouse. It is recommended that you do not specify any zone/bin and part #/part description to retrieve only those parts that are found in multiple bins/zones. |
ØSelect the “Search” pushbutton to display parts that satisfy the search criteria in the “Part Results” multiline.
The “Part Results” multiline displays the following:

The zone in which the part is in stock/currently available. |

Trn. Qty |
The quantity of the part to be transferred within the warehouse, Mandatory. Note: The transfer quantity you enter here 1) Must be greater than zero. 2) Can be a fractional number, if the UOM of the part allows fractions. 3) Must not be greater than the unallocated quantity available in the warehouse. |
To Zone # |
The destination zone in the warehouse to which you wish to transfer the part, Mandatory. Note: 1) The zone you specify must be in ‘Active’ status and must be valid for the warehouse as defined in the Storage Administration component. 2) The destination zone must not be the same as the source zone in the warehouse, if the source zone is a ‘Free’ zone. 3) The storage category of the destination zone must be set as ‘Exclusive’ for the part that you wish to transfer, if the zone is a ‘Free’ zone. 4) The storage rule of any other zone must be not be set as “Only At” for the part you wish to transfer, If the zone is a ‘Free’ zone. To Bin # |
The destination bin in the zone of the warehouse to which you wish to transfer the part. Note: 1) The destination bin # is mandatory, if the destination zone is a Normal zone. 2) Do not specify the destination bin #, if the destination zone is a Free zone. 3) The bin # you specify here must be in ‘Active’ status and must be valid for the warehouse and zone combination as specified in the Storage Administration component. 4) The destination zone and bin combination must not be the same as the source zone and bin combination. 5) The storage category of the destination bin must be set as ‘Exclusive’ for the part that you wish to transfer, if the zone is a ‘Normal’ zone. 6) The storage rule of any other bin must be not be set as “Only At” for the part you wish to transfer, If the zone is a ‘Normal’ zone. More details on Zone#/Bin# mapping to supplier/customer
The destination warehouse-zone-bin combination must be valid as defined in the Storage Administration component for a successful stock transfer.
The zone/bin allocation to customer or supplier parts is influenced by the definition of the “Storage allocation for External Ownership Parts” process parameter in the Set Inventory Process Parameters activity as explained below:
4 If the “Storage allocation for External Ownership Parts” is set as ‘Manual’, the destination zone/bin to which you wish to transfer the part must be mapped to the trading partner in the Maintain External Storage Allocation activity. However, if the part is a None-Controlled part, the destination zone and bin must not be mapped to any other trading partner as ’Exclusive’.
4 If the “Storage allocation for External Ownership Parts” is set as ‘Automatic’, the zone/bin to which the part must be transferred must not be mapped to any other trading partner as ’Exclusive’. While transferring multiple parts of which one of the part is ‘None-Controlled’, the destination zone/bin must not be mapped to any other trading partner as ’Exclusive’.

Use the drop-down list box to select the category for the intra warehouse stock transfer. The drop-down list box displays those quick codes defined under “Transfer Category” quick code type in ‘Active’ status as defined in the “Create Quick Codes” activity. |
User Status |
Use the drop-down list box to select the user status for the intra warehouse stock transfer. The drop-down list box displays those quick codes defined under “User Status” quick code type that in ‘Active’ status as defined in the “Create Quick Codes” activity.. |

ØSelect the part record that you wish to transfer to another zone/bin in the warehouse.
To create and authorize stock transfer
ØSelect the “Create and Authorize Transfer” pushbutton.
4 Note: 1) You can use the “Create and Authorize Transfer” pushbutton only if you hold user rights for authorizing a intra warehouse transfer. 2) The warehouse or the part must not be frozen for transactions in the PICC component.
On successful authorization of the stock transfer, the system
4 Generates the transfer # for the stock transfer transaction. However, if multiple parts are selected for transfer, the system groups these parts on the basis of trading partner type and trading partner # and generates a single intra warehouse transfer transaction for the trading partner type and trading partner # combination.
4 Sets the status of the intra warehouse stock transfer to “Authorized”.
4 The transferred quantity is converted from part UOM to UOM of the destination zone and bin for storage.
4 Maps the destination zone and bin to the trading partner type/ trading partner, if the process parameter “Storage allocation for External Ownership Parts" is set as ‘Automatic’ in the Set Inventory Process Parameters activity of the Logistics Common Master for pars that are not None-Controlled. However, if “Storage allocation for External Ownership Parts" is set as ‘Manual’, you must select the Maintain External Stock Allocation” link to specify the storage location for customer-owned and supplier-owned parts, if the storage location has not been defined yet.
To create stock transfer
ØSelect the “Create Transfer” pushbutton.
Note: The warehouse or the part must not be frozen for transactions in the PICC component.
4 Generates the transfer # for the stock transfer transaction. However, if multiple parts are selected for transfer, the system groups these parts on the basis of trading partner type and trading partner # and generates a single intra warehouse transfer transaction for the trading partner type and trading partner # combination.
4 The stock transfer is generated in the “Fresh” status.
4 The transferred quantity is converted from part UOM to UOM of the destination zone and bin for storage.
