Maintaining the repair shop correspondence details
This page allows you to enter the repair shop correspondence details for a repair order. Tell me more.
Select the “Maintain Repair Shop Correspondence” link in the “Select Repair Order” page. Alternatively, select the hyperlinked repair order number in the multiline of the same page.
The “Maintain Repair Shop Correspondence” page appears.
The system displays the following fields:
Date Format |
The format in which the date fields must be entered in this page. This format is displayed from the “User Preferences” business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
The system displays the following field in the “Repair Order Info” group box:
Repair Order # |
The repair order selected in the previous page. |
Enter the following field:
Amendment # |
Use the drop-down list box to select the amendment number of the repair order for which the correspondence details must be recorded. The system lists all the amendment numbers associated with the repair order. The system sets the field to the latest amendment number for the repair order, by default. |
The system displays the following:
Repair Order Date |
The date on which the repair order is raised. |
Status |
The status of the repair order. |
RO Type |
The repair order type, which could be “Normal” or “Exchange”. |
Remarks |
Any additional information pertaining to the creation of the repair order. |
Ref. Document Type |
The type of the reference document, which could be "A/c Maint. Exe. Ref #", "Shop Work order", "Customer Order" or "Other". |
Ref. Document # |
The number identifying the reference document. |
Work Center # |
The number identifying the work center. |
The system displays the following in the “Repair Shop Details” group box:
Repair Shop # |
The number identifying the repair shop. |
Repair Shop |
The name of the shop where the repair is carried out. |
Address |
The address of the repair shop. |
Contact Person |
The person to be contacted in the repair shop. |
Phone # |
The telephone number of the repair shop. |

Fax # |
The fax number of the repair shop. |
The system displays the following in the “Part Details” group box:
Note: If a single part is specified for repair, the Part #, Serial # and Part Description fields displays values. If more than one part is specified, the Part # field displays “Multiple” and Part Description, Serial #, Component # fields remain blank.

The number that identifies the part for which the repair order is raised. |
Part Description |
A textual description of the part. |
Mfr. Part # |
The number provided by the manufacturer of the part. |
Serial # |
The serial number identifying the part. |
Component # |
The number identifying the component for which the repair order is raised. |
Condition |
The condition of the component. |
Enter the following in the “Correspondence Details” multiline:
Date |
The date on which the repair shop correspondence details are recorded for a repair order (Date Format). Mandatory. |
Repair Shop Remarks |
The remarks of the repair shop for the repair order (Alphanumeric, 255). |
Buyer Remarks |
The remarks of the buyer for the repair order (Alphanumeric, 255). |
The system displays the following in the “Record Statistics” group box:
Last Modified By |
The name of the user who modified the repair shop correspondence details. |
Last Modified Date |
The date on which the repair shop correspondence details were last modified. |
Click the “Maintain Correspondence Details” pushbutton to record the repair shop correspondence details.

Select the “View Repair Order” link at the bottom of the page to view the repair order details.
Maintaining the repair shop correspondence details – An overview
This page allows you to enter the repair shop correspondence details for a repair order. The system retrieves and displays all the RO details along with the part details. You can select the repair order for which the repair shop correspondence details must be recorded. You can enter the remarks of the repair shop and the buyer, along with the date. The system updates the correspondence details and stores the name of the currently logged in user and server date.

Record the correspondence details for a repair order
You can select a repair order for which the repair shop correspondence details are to be recorded.
Select the amendment number of the repair order in the “Amendment #” field.
Enter the date, repair shop remarks and the buyer remarks in the “Correspondence Details” multiline.
Click the “Maintain Correspondence Details” pushbutton.
The repair shop correspondence details are recorded for the repair order.
The repair order should be in “Draft“, “Fresh”, “Cancelled”, “Released”, “Issued”, “Acknowledged”, “Quoted”, “Confirmed”, “Authorized”, “Under Auth.”, “Amended” or “BER Closed” status.
