Authorizing or Returning release slip
This page allows you to select, and authorize or cancel the RS. Tell me more.
Select the “Authorize Release slip” link under the “Release Slip” business component.
The “Authorize Release Slip” page appears.
The system displays the following field.
Date Format |
The format in which the date fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
Enter the following in the “Search Criteria” group box, to search for the RS. Data entry in the following fields is optional.
RS #

The number identifying the RS (Alphanumeric, 18). You can enter the RS number in full or specify it partially using the “*” character. The system retrieves all the release slips with RS numbers similar to the value entered here. Leave this field blank, to retrieve all the release slips, which are in the “Fresh”, “Confirmed” or “Stage X” status for the login user. |
BPO #

The number that identifies the BPO based on which the RS was raised (Alphanumeric, 18). You can enter the BPO number in full or specify it partially using the “*” character. The system retrieves all the release slips, which are based on the BPO whose number is similar to the value entered here. Leave this field blank, to retrieve all the RS irrespective of the BPO number. |
RS Date From |
The starting date, in a range of RS dates, from which the RS details must be retrieved (Date Format). Ensure that this date is earlier than or equal to the current server date. The system lists all the release slips that are raised later than or equal to this date. The system sets a date that is one month earlier than the current server date by default. |
Note: The date entered in “RS Date From” field must be earlier than or equal to the date entered in the “RS Date To” field.
RS Date To |
The ending date, in a range of RS dates, until which the RS details must be retrieved (Date Format). Ensure that this date is earlier than or equal to the current server date. The system lists all the release slips that are raised earlier than or equal to this date. The system sets the current server date by default. |
Supplier # |
The code that identifies the supplier (Alphanumeric, 45). You can enter the supplier code in full or specify it partially using the “*” character. The system retrieves all the RS containing supplier numbers similar to the value entered here. Leave this field blank, to retrieve all the release slips irrespective of the supplier code. |
RS Type |
Use the drop-down list box to select the type of the RS to be processed. The system lists the options “Normal” and “Express”. The system retrieves all the release slips of the type specified here. The system leaves the field blank by default. Leave this field blank, to retrieve all the release slips irrespective of the type. |
Part # |
The part number (Alphanumeric, 40). You can enter the part number in full or specify it partially using the “*” character. The system retrieves all the release slips containing part numbers that are similar to the value entered here. Leave this field blank, to retrieve all the release slips irrespective of the part. |
Part Type |
Use the drop-down list box to select the part type. The system lists the options “Raw material”, “Expendables”, “Tool”, “Consumable” and “Kit”. The system retrieves all the release slips raised for the part type specified here. The system sets the field blank by default. Leave this field blank, to retrieve all the release slips irrespective of the part type. |
Priority |
Use the drop-down list box to select the urgency level for the RS. The system lists all the priorities in ‘Active’ status as defined under “Maintain Priority Codes” activity of the “Logistics Common Master” business component and “Blank”. The system retrieves all the release slips of the priority specified here. The system leaves the field blank by default. Leave this field blank, to retrieve all the release slips irrespective of the priority. |
Category |
Use the drop-down list box to specify the category of the RS. The system lists all the “Active” categories as defined for RS in the “Create Common Category” activity of the “Logistics Common Master” business component. The system retrieves all the release slips of the category specified here. The system leaves the field blank by default. Leave this field blank, to retrieve all the release slips irrespective of the category. |
Created By |
The name of the user who created the RS (Alphanumeric, 40). |
Buyer Group |
Use the drop-down list box to select the buyer group to which the buyer is associated. The system lists all the buyer groups that are in “Active” status and mapped to the RS. The system leaves the field blank by default. |
User Status |
Use the drop-down list box to specify the user-defined status of the RS. The system lists all the “Active” user status as defined in the “Create User Status” activity for RS of the “Logistics Common Master” business component. The system retrieves all the RS that are in the user-defined status specified here. The system leaves the field blank by default. Leave this field blank, to retrieve all the RS, irrespective of the user-defined status. |
The “Buyer Group” field lists all buyer groups
defined in the application and mapped to the “Release Slip” document as
determined from the "Edit Document Mapping" screen under the
“Buyer Group” business component.
Note: Leave all the fields blank, to retrieve all the RS, which are in the “Fresh, “Confirmed” or “Stage X” status for the login user.
Click the “Search” pushbutton, to search for the RS that you need to authorize or return.
The system displays the following in the “Search Results” multiline.

Check the box in the “Select” column of the multiline, to mark the RS for authorizing, returning or viewing.
Note: At least one row must be selected in the multiline.
To view RS details before authorization
Select the “View Release Slip” link at the bottom of the page, to view the details of the selected RS.
To return release slip(s)
Click the “Return Release Slip” pushbutton, to return the release slip(s) selected in the multiline.
The system updates the status of the RS as “returned”. The system stores the User Status, the login user ID and the server date along with the modified details.
To authorize release slip(s)
Click the “Authorize Release Slip” pushbutton, to authorize the release slip(s) selected in the multiline.
Note: You can authorize a release slip only if there exists some pending quantity against the selected release slip.
The system updates the status of the RS as “Stage X”, where “X” is the authorization sequence of the login user. For example, if the login user is in sequence 5 for the document, the status is set as “Stage 5”. If the sequence is the last for the document, the system sets the status as “Open”.
If the document is authorized by a purchase committee, then the status is set as “Stage X – M / N”, where:
X – denotes sequence number of the committee
M – denotes the number of times the document is authorized by the committee
N – denotes the number of people in the committee or in the quorum, if the purchase committee is of the “quorum” type
The system ensures that the Operational Status of the supplier is not set as “Hold Release Slip” in the “Add Location Details” activity of “Supplier” business component.
The system stores the login user ID and the server date along with the modified details.
Authorizing or returning the release slip – An overview
This page allows you to select, and authorize or return the RS. You can also view details of the RS before authorizing it. You can directly enter the RS number, if you know it. Otherwise, you can carry out a search using the RS number, date on which the RS was raised, user status, category, priority, RS type, the range of RS dates, supplier code and the type of the part or item for which the RS was raised. You can select multiple release slips and authorize them all at once.
Only release slips that are in the “Fresh”, “Confirmed” or “Stage X” status can be authorized. The authorized RS cannot be modified; it can only be amended.
Authorize or return a release slip
You can authorize an RS, which is in the “Fresh”, “Confirmed” or “Stage X” status. Only authorized release slips are open for transactions. You can also return the release slips.
Provide filter criteria in the “Search Criteria” group box, to search for the release slip order that you need to authorize or return.
Select the RS in the multiline you wish to authorize or return.
Click the “Authorize Release Slip” pushbutton, to authorize the selected RS.
Click the “Return Release Slip” pushbutton, to return the selected RS.
