Creating Bulk Cycle Count Plan

This section dwells on the Physical Inventory & Cycle Count business component and its activity Create Bulk Cycle Count Plan.

Select the “Create Bulk Cycle Count Plan” activity in the left pane under the “Physical Inventory & Cycle Count” business component.

The “Create Bulk Cycle Count Plan” page appears.

Ø  Enter the following fields in the “Plan Details” group box:

Plan Description

The textual description of the bulk cycle count plan. Mandatory.

Planned Start Date

The starting date of the bulk cycle count plan. Mandatory. The starting date should be equal to or later than the current date

Numbering Type

Use the drop-down list box to select the numbering type to be used by the system for generating the bulk cycle count plan number. Mandatory. The system lists all the numbering types defined in the “Create Numbering Type” activity mapped to transaction type 'Cycle Count Plan' of the “Document Numbering Class” business component that are valid on the current date. By default, the system sets the field to the numbering type specified as default for the “Cycle Count Plan” transaction type.

Plan Group

Use the drop-down list box to select the group to which the bulk CC plan belongs. The system lists all the “Active” quick codes of type “Plan Group” as defined in the “Create Quick Codes” activity of the “Physical Inventory & Cycle Count” business component. The system leaves the field blank, by default.

Planned by

The name of the user who planned the bulk cycle count. Ensure this is a valid user name and already defined in the “Record Personal Information” activity of the “HRMS” business component and is in the “Active” status. The system displays the Employee Code mapped to the Login User, by default.

Category / User Status

Use the drop-down list box to select the category to which the bulk CC plan belongs. The system lists all the “Active” quick codes of type “Plan Category” as defined in the “Create Quick Codes” activity of the “Physical Inventory & Cycle Count” business component. The system leaves the field blank, by default.

Use the drop-down list box to assign a user-defined status to the bulk cycle count plan. The system lists all the “Active” quick codes defined for the type “User Status” in the “Create Quick Codes” activity of the “Physical Inventory & Cycle Count” business component. The system leaves the field blank, by default.

Ø  Enter the following fields in the multiline:

CC Plan Level

Use the drop-down list box to select the storage level at which the bulk cycle count plan must be generated. The system provides the options “Warehouse”, “Warehouse – Zone” and “Warehouse – Zone - Bin”. Mandatory.

§  Select “Warehouse”, if you wish to generate the bulk cycle count plan for items at the warehouse level.

§  Select “Warehouse - Zone”, if you wish to generate the bulk cycle count plan for items at the various zones in the warehouse.

§  Select "Warehouse-Zone-Bin", if you wish to generate the bulk cycle count plan for items at the various bins in the zone of the warehouse.

Note: 1) If the storage type of the warehouse is “Free”, then the “CC Plan Level” cannot be set to "Warehouse-Zone" or "Warehouse-Zone-Bin". 2) You must specify the bin or bins that must be associated to the CC plan in the “Associate Bins” tab only if the CC plan level is "Warehouse-Zone-Bin".

Warehouse #

The warehouse for which the bulk cycle count plan is generated. Mandatory.

Note: Ensure that the login user has access rights to the selected warehouse as defined in the “Storage Administration” business component.

Note: If the CC Plan Level is 'Warehouse', then for the selected Warehouse the system includes only those parts under the CC plan, for which the stock status is mapped to the attribute type ‘Cycle Count’ and is marked as “Yes”, as defined in the “User Defined Stock Status” business component.

Zone #

The number that identifies the zone in which the items are stored. Ensure the zone is valid and already defined in the “Create Warehouse Information” of the “Storage Administration” business component.

Note: The zone # is mandatory, if the “CC Plan Level” is “Warehouse – Zone” or “Warehouse – Zone – Bin”. If the CC plan level is "Warehouse-Zone-Bin", you must enter a zone of type ‘Normal’ only.

Bin #

The bin in the zone-warehouse that is associated with the bulk CC plan. The bin # is mandatory, if bulk CC Plan Level is selected as ‘Warehouse-Zone-Bin’.

Note: The bin # is mandatory, if the “CC Plan Level” is “Warehouse – Zone – Bin”. If the CC plan level is "Warehouse-Zone-Bin", you must enter a zone of type ‘Normal’ only. The bin must be Active and valid for the warehouse-zone combination as defined in the “Storage Administration” business component.

The system displays the following fields:

Cycle count Plan #

The number identifying the cycle count plan. The system automatically generates the number on clicking the “Create Cycle Count Plan” pushbutton, based on the numbering type selected for all the applicable lines in the multiline.

Status

The status of the bulk cycle count plan. By default, the system sets the status as “Draft”.

Note: Set the status as “Fresh”, only when the data entry is complete and the bulk cycle count plan is ready for authorization.

Ø  Enter the following fields in the multiline:

User Defined Details 1

Any user–defined details pertaining to the bulk cycle count plan.

User Defined Details 2

Any user–defined details pertaining to the bulk cycle count plan.

Remarks

Any additional remarks pertaining to the creation of the bulk cycle count plan.

File Name

The name of the file used as reference document for the bulk cycle count plan.

The system displays the following fields.

Warehouse Desc

The textual description of the warehouse for which the bulk cycle count plan is generated.

Zone Desc

The textual description of the zone for which the bulk cycle count plan is generated.

Bin Desc

The textual description of the bin for which the bulk cycle count plan is generated.

Created by

The name of the user who created the bulk cycle count plan.

Created Date

The date on which the bulk cycle count plan was created.

Ø  Enter the following fields in the “Planning Options” Group box:

Part Selection Mode

Use the drop-down list box to specify the part selection mode. Mandatory. The system lists the following options:

§  Manual – Maps all the parts that satisfies the other planning options specified such as the 'Class', 'Part Type', 'Part Category', 'Part Group', 'Part Classification', 'Expense Type', 'From / To Value', 'Cum.% Inv.Value: From/To'..

§  Random – Maps the random parts for the sample size specified, out of the parts that satisfies the other planning options specified based on the following steps:

a) Fetches the part numbers that satisfy the planning option specified  like, 'Class', 'Part Type', 'Part Category', 'Part Group', 'Part Classification', 'Expense Type', 'From / To Value', 'Cum.% Inv.Value: From/To'

b) Assigns consecutive numbers (start from 1) to the parts fetched.

c) Runs the random number generator with 'No. of Random Number' as the Sample Size value provided and 'Range' as the total # of parts fetched.

d) Matches these random numbers generated with the numbers attached to the parts (as mentioned in step b).

e) Selects only these parts in the plan..

By default the system sets this field to “Manual”.

Note: If the 'Closed Plan for Random Parts' option is selected as 'To be Considered' in the “Set Options for Cycle Count” activity and ‘Part Selection Mode’ is selected as 'Random' then the system fetches all the parts that satisfy the planning options and are not associated to any current plan. Also, the parts from the plan in “Closed” status are considered.

If the 'Closed Plan for Random Parts' option is selected as 'Not to be Considered' in the “Set Options for Cycle Count” activity and Part Selection Mode is selected as 'Random' then the system fetches all the parts that satisfy the planning options and are not associated to any current plan. And the parts from the plan in "Closed" status should not be considered.

Sample Size

The number of various parts to be considered for random selection from the warehouse. The value entered must be greater than zero.

Example: If in warehouse “W1”, there exists parts “P1”, “P2”, “P3”, ”P4” and so on and if the sample size is set as “2”, then on random selection, the system will consider any of the above said “2” parts from the warehouse for cycle count plan generation, irrespective of the individual part quantity.

This field must be entered, if the part selection mode is set to “Random”.

Class

Use the drop-down list box to select the class for which the bulk CC plan is created. The system lists the classification method defined for the login organization unit in the “Set Cycle Count Options” activity of the “Physical Inventory & Cycle Count” business component.

Part Type

Use the drop-down list box to select the type of the item for which the bulk CC plan is generated. The system allows selection of predefined part type, which are: “Raw Material”, “Tool”, “Kit”, “Expandable”, “Component”, “Consumable” and “Miscellaneous”. The system sets the field blank by default.

Part Category

Use the drop-down list box to select the category of the item for which the CC plan is generated. The system displays all the “Active” quick codes of type “Part Category” as defined in the “Create Quick Codes” activity of the “Part Administration” business component. The system sets the field blank by default.

Part Group

Use the drop-down list box to include parts belonging to a specific group from the warehouse/zone/bin in the CC plan.  The system displays all the valid part groups defined in the “Create Part Groups” activity of the “Part Administration” business component. The system sets the field blank, by default.

Part Classification

Use the drop-down list box to include parts under a specific classification from the bin in the CC plan. The drop-down list box displays the following:  'Controllable', 'Repairable', 'Rotable' and 'None’. The system sets the field blank, by default.

Last Cycle Count Date<=

The date on which earlier cycle count plans were closed. The earlier dates to the date entered in this field will also be considered, for retrieval of information.

Trading Partner Type

Use the drop-down list box to include parts owned by a specific trading partner from the warehouse/zone/bin in the CC plan which could be “Owned”, “Customer” or “Supplier”.

Expense Type

Use the drop-down list box to include parts with a specific expense type from the warehouse/zone/bin in the CC plan. The drop-down list box displays: Capital and Revenue. The system sets the field blank, by default.

From Value

The starting value in the range of the part values. The value entered must be positive starting from 0.

To Value

The ending value in the range of the part values. Ensure that the value entered here is a positive value and must start from 1. The value entered must be greater than the “From Value”.

·  Note: 1) The system considers the ‘From Value’ and ‘To Value’ only if the part selection mode is “Manual”. If the part selection mode is ‘Random’ the system will ignore the values entered. 2) The value of the part refers to the average unit value of the part in stock. For example, if the value of 10 quantities of part P1 is 1000, the average unit value of P1 is 1000/10 = 100.

Ø  Check the following boxes:

Include Capital Parts

Select the checkbox to include parts with expense type ‘Capital’ in the CC plan.

Note: The system includes the Capital parts in the CC Plan on selection of this checkbox even if you have specified the From Value and To Value fields.

Auto Assoc. New Parts

Select the checkbox to automatically include in the CC plan those parts available in the warehouse/zone/bin that are not associated with the CC plan.

Ø  Enter the following field:

Cum. % Inv. Value:From/To

The starting value in the range of the cumulative percentage inventory value for the part in a particular warehouse-Zone-Bin.

 

The ending value in the range of the cumulative percentage inventory value for the part in a particular warehouse-Zone-Bin.

Ø   

To create cycle count plan

Ø  Click the “Create Cycle Count Plan” pushbutton, to create the cycle count plan.

Note: For cycle count plan, the system retrieves only those parts for which “Mapping?” is set as “Yes” for the status attribute “Cycle Counting”, in the “Create User Defined Stock Status” activity of the “User Defined Stock Status” business component.

The system creates the CC plan and generates the CC plan number based on the numbering type selected.

The system updates the CC plan to “Fresh” or “Draft” status.

4   Draft: Indicates that all the details have not been entered for the cycle count plan and the details can be modified.

4   Fresh: Indicates that the data entry is complete and the document is available for authorization. A “Fresh” cycle count plan can be edited and it can be reverted back to the “Draft” status.

Note: A cycle count plan of “Draft” or “Fresh” status can be canceled.

The system performs the following on clicking the “Create Cycle Count Plan” pushbutton.

4   If the part selection mode is set as “Manual”, the system maps all the parts satisfying the “Planning Information”, and updates the same for cycle count plan. If there is any entry in the ‘Last Cycle Count Date<=’ field, then the system will consider, the same along with the “Planning Informations”, i.e. Parts Satisfying the planning Informations and those associated to the cycle count plans which are in closed status, on the last cycle count date and prior to the date will be retreived.If the part selection mode is set as “Random”, the system retrieves the number of parts randomly as defined for the “Sample Size”.

4If any plans are pending for the warehouse or warehouse-zone or warehous-zone-bin combination as on the current date, the system does not you to create a CC plan as this it would lead to duplication.

4Includes only those parts from the warehouse/zone/bin in the CC plan with the stock status mapped

o    The status attrbute ‘Cycle Count’

o    The transaction ‘Cycle Count’ in the UDSS component

4If ‘Zero Qty Parts’ has been set to ‘Include’ for a specific consumption period, the system includes parts from the warehouse/zone/bin in the CC plan even if no stock of these are found in the inventory in the stipulated consumption period prior to the cycle count date. However, if ‘Zero Qty Parts’ is ‘Exclude’, the system excludes parts with zero quantity stock.

Note: On creation of Cycle Count Plan, the system sets the status of the documents to “Draft”. Also, an offline scheduler (background activity) begins to associate parts to each of the CC plan created based on the CC Plan Level and Planning Options. On successful completion of the process, system would update the status of the documents as ‘Fresh’, if there is no error encountered in the offline process. Else the status would still continue to remain in ‘Draft’ status.
