Including additional tags to the inventory sheet

Glossary

This page allows you to include additional tags in the inventory sheet. If the assets are physically found in the location but are not recorded under the inventoried location in the database, and have not been included in the sheet, then the assets have to be added in the inventory sheet. Only the assets that are not already included in the sheet can be taken up in the list. The system updates the status of the tags to “Frozen” the moment it is included in the inventory sheet.

The “Include Additional Tags” page appears.

Note: This page is mandatory only if an extra asset is found in the location.

The system displays the following fields in the group-box:

Inventory Sheet No.

The number identifying the inventory sheet.

Sheet Description

A textual description pertaining to the inventory sheet.

Status

The status of the inventory sheet which must be either “Fresh” or “Verified”.

Sheet Date

The date on which the inventory sheet is created.

Default Inventoried Location

The code identifying the location in which the asset exists (Alphanumeric, 20).

Default Inventoried Date

The date on which the asset tags are verified (Date Format). The date must be less than or equal to the system date and greater than the sheet date.

Asset No.

The number identifying the asset (Alphanumeric, 18). The asset number is defined in the “Create Asset” activity of the “Asset Capitalization” activity.

The system displays the following field:

Asset Description

A textual description pertaining to the asset.

Tag No.

The number identifying the asset tag (Alphanumeric, 6). The tag number is defined in the “Create Asset” activity of the “Asset Capitalization” business component.

The system displays the following field:

Tag Description

The textual description pertaining to the asset tag.

Note: The asset and the tag number must be unique to the inventory sheet and must not included in the sheet earlier.

Inventoried Location

The code identifying the location in which the asset exists (Alphanumeric, 20). Mandatory.

Inventoried Date

The date on which the asset is verified (Date Format). Mandatory.

Note: The system defaults the value if the ”Default Inventoried Location” and the “Default Inventoried Date” is entered.

Inventory Result Remarks

Any comments pertaining to the inventory result of the asset (Alphanumeric, 255).

The system displays the following fields:

Inventory Status

The status of the inventory.

Asset Location Code

The code identifying the location in which the asset exists.

Note: The inventoried location and Asset Location No. of the asset tag no. included as additional tag should not be same with respect to the database.

The system updates the status of the asset tags to “Confirmed”.

The system updates the “Inventory Result” to “Extra”.

Include additional tags to the sheet

If the assets are physically found in the location but not in the list and the asset tags respective location is not the inventoried location as per the database, then the asset tags are added in the sheet.

The asset tags are “Frozen”, once included in the sheet.

Defaulting inventoried location and the inventoried date in the multiline

You can default the inventoried location and the date for easy data entry.

The system defaults the value entered in the multiline.
