Set Authorization Option - A summary of the activity

Through this activity, you can define a workflow setup for an area depending on the business requirement and can map this setup with different organization units.  There are four workflow capabilities “Authorization not Required”, “Notification only Required”, “Single Step Authorization without Configurator”, and “Authorization Steps through Configurator”.

The “Authorization Steps through Configurator” capability can be selected to enable multilevel authorization process based on the process rules. For example, ‘Leave Application’ is an area identified and has two levels or three level authorizations, which can be defined based on the initiating employee.

The “Single Step Authorization without Configurator” capability is selected to enable anyone to authorize the document. For example, ‘Leave Application’ is an area identified and has only one level of authorization, which can be done by any user.

The “Authorization Not Required” capability is selected to enable auto authorization process. For example, ‘Leave Application’ is an area identified and authorization is not required if employees in a particular organization unit apply for leave.

The “Notification Only Required” capability cannot be selected for the area where authorization process is mandatory. This option can be selected for the area in which a notification (broadcast message) has to be sent to the users. For example, creating a new department.

The user can select any one of these capabilities, which is enabled as a capability in workflow inputs metadata. The workflow administrator can login and override the default workflow capability which is given as workflow inputs metadata and can apply to any document initiating organization units. The user cannot set workflow capability, which has not been identified as possible capability in workflow inputs metadata.
