Basics of using a typical web page

This page allows you to set the criteria to generate the customer statement. A customer statement is generated for a customer when requested. Tell me more.

The “Customer Statement” page appears.

Company Code

Use the drop-down list box to select the code identifying the company in which the customer has been defined. All the companies that are in the “Active” status and have been mapped to the login organization unit will be available for selection.

Business Unit

Use the drop-down list box to select the code identifying the business unit in which customer has been defined. All the business units that are in the “Active” status and have been mapped to the selected company will be available for selection.

Group Type Code

Use the drop-down list box to select the type of group to which the customer belongs. All the customer group types that have been defined for the login organization unit will be available for selection.

Customer Group Code From

Use the drop-down list box to select the customer group, from which you want to retrieve. All the customer group codes that have been defined for the selected group type will be available for selection.

To

Use the drop-down list box to select the customer group till which you want to retrieve. All the customer group codes that have been defined for the selected group type will be available for selection.

Customer Code From

The starting code in the range of codes identifying customers for whom you want to view a statement (Alphanumeric, 18). Mandatory.

To

The ending code in the range of codes identifying the customers for whom you want to view a statement (Alphanumeric, 18). Mandatory.

Status

Use the drop-down list box to select the status of the customer for whom you want to view a statement. You can select from “Active”, “Draft”, “Held”, “Cancelled”, “Held for Order”, “Held for Pack”, “Held for Pick” or “All”. The system displays “All” by default on launch of the page.

Date Option

Use the drop-down list box to select the time duration for which you want to view a statement. You can select from “Financial Year”, “Calendar Year” or “Days”. The system displays “Days” by default on launch of the page.

Financial Year

Use the drop-down list box to select the code identifying the financial year for which you want to view the customer statement. All the financial years defined for the finance books mapped to the selected business unit will be available for selection in the chronological order. The financial years could be in the “Open” or the “Provisionally Closed” status.

Note: A financial year must not be selected if “Calendar Year” or “Days” is selected in the “Date Option” field.

Financial Period

Use the drop-down list box to select the financial period for which you want to view the customer statement. All the financial periods that have been defined for the selected year will be available for selection in the chronological order. The system displays the start date and the end date of the financial period along with the code identifying the financial period.

Note: A financial period must not be selected if “Calendar Year” or “Days” is selected in the “Date Option” field.

Calendar Year

Use the drop-down list box to select the calendar year for which you want to view the customer statement. All the calendar years based on the defined financial years will be available for selection in the chronological order. For example if the financial year is from April 2001 to March 2002, the calendar year 2001 and 2002 will be available for selection.

Note: A calendar year must not be selected if “Financial Year” or “Days” is selected in the “Date Option” field.

Month

Use the drop-down list box to select the month for which you want to view the customer statement. All the twelve months of a calendar year will be available for selection. The system displays “Jan” by default on launch of the page.

Note: A month must not be selected if “Financial Year” or “Days” is selected in the “Date Option” field.

Currency

Use the drop-down list box to select the code identifying the currency in which you want to view the customer statement. All the currency codes that have been assigned to the login company will be available for selection. The system displays “All” by default on launch of the page.

Date From

The starting date in the date range for which you want to view the customer statement (Date Format). The date entered in this field must be before the date entered in the “To” field.

Note: This field must be left blank if “Financial Year” or “Calendar Year” is selected in the “Date Option” field.

To

The ending date in the date range for which you want to view the customer statement (Date Format). The system date is displayed by default on launch of the page.

Transaction

Use the drop-down list box to select the type of transaction for which you want to view the customer statement. All the types in which the transaction takes place with the customer will be available for selection. The system displays “All” by default on launch of the page.

Note: “Customer Account Based Debit Note”, “Customer Account Based Credit Note”, “Customer Miscellaneous Invoice, “Customer Direct Invoice”, “Customer Order Based Invoice” and so on will be available for selection.

Language

Use the drop-down list box to select the language in which you want to view the customer statement. The system displays “English” by default on launch of the page.

Report Type

Use the drop-down list box to select whether you want to view the summary of the customer statement or a detail customer statement. You can select from “Details” or “Summary”. The system displays “Details” by default on launch of the page.

The system generates and displays the customer statement based on the search criteria entered. This report can be printed. If you have opted for a detailed report, you can view the details of the customer, the document details, the outstanding amount, the due date, the instrument details, the opening balance and the balance due from the customer or due from the company to the customer. Customer Statement – An overview

This statement contains the details of all the transactions that have taken place between the company and the customer for a period of time. This period of time could be a financial year, a calendar year or date range. This statement would also contain the opening and closing balances of the customer for the date range. If required a summary of the statement can also be generated.

You can set the criterion by specifying the status of the customer for whom you want to generate the statement and the period of time for which the statement is to be generated. You can also select the type of report that you want view and the currency in which you want to view the report. The system generates the report based on the selected criterion. Based on the type of report that you want to view the system retrieves and displays the details of the customer, document details, the outstanding amount, the due date, the instrument details, the opening balance and the balance due from the customer or due from the company to the customer. You can also view the opening and closing balance of the customer, the billing, receipt, advance, deposit and the unadjusted receipt amount.
