Maintain Project Master – A Summary of the Activity

Through this activity, you can maintain the project details, which include creating, editing, viewing and deleting the project details. At the outset, the project details, such as the project identifier, department, cost center and the effective dates of the project are defined.

Subsequently, you must define the valid range of dates for which the employees can make entries in the time sheet. The status “Open”, allows the employees to make entries in the timesheet for the project and the specified period. The status “Closed” restricts the employee from making entries in the time sheet for the specified period. If required, you can extend the time frame by making a new entry and setting the status to “Open” for the new range of dates. This also requires closing the previous entries.

Further, you can map the relevant purchase order to the project by entering the Purchase Order, valid dates and the planned number of months required to complete the project. The system displays the corresponding Purchase Order details upon selecting the Purchase Order. Assigning Purchase Order is not mandatory for projects whose billing rule is Non billable Internal, Resource Pool/Bench and New Joinee Pool.

Finally, you can map multiple managers to the project for a valid range of dates.

You can edit/delete the project details, if required. Deletion is allowed only if the Project ID does not have any time sheet booking and deletion is not allowed if the project is used in down the line screens like Employee Project Assignment.

Selecting ‘Maintain Project Master’ to maintain project details of the customer.

 

Maintain Project Master

ØSelect the “Maintain Project Master” activity under “Time sheet Billing and Administration”.

The “Maintain Project” page appears.

ØEnter the following field details in the header:

Organization Unit

From the drop-down list box, select the required option. The combo is defaulted with the login OU for you to choose. Mandatory.

ØThe system displays the following:

Date Format

The date format that is applicable to the login user.

ØEnter the following field details:

Project ID

The unique identifier of the project. Mandatory.

Help facility available

Project Description

A description of the project. Mandatory.

Department

The department which deals with the project.

Cost Center

The name of the cost center. Mandatory.

Effective From Date

The start date of the project. Mandatory.

Effective To Date

The end date of the project.

Reporting Group

From the drop-down list box, select the reporting group of the project. The system loads the user defined values. The system displays “Not Applicable” by default on launch of the page.

Billing Rule

From the drop-down list box to select the billing rule of the project. The system displays “Employee Rate based” as option if the timesheet type of system process parameter is “Basic”. The system displays “Flat Fee Apportioned”, “Fixed Monthly”, “Milestone”, “Non Billable/Internal”, “New Joinee Pool”, “Output Based”, “Resource Pool/Branch” and “Role/Slab Based” if the timesheet type of system process parameter is “Advanced”. Mandatory.

Created at OU

The logged in OU is displayed on save. When already created projects are fetched from executed OU, this would display created OU.

Remarks

Key in any remarks or feedback, if any.

Standard Hours/Per

The standard hours per day/month/week (from the drop-down list box, select the required option. The combo is loaded with the values “Day”, “Month” and “Week” for you to choose).

ØEnter the following field details in “Applicable Dates for Time Entry” multiline:

From Date

The start date from which the employee can enter the timesheet details for the project.

Note: This date must be the same as or greater than the project effective start date.

To Date

The end date until which the employee can enter the timesheet details for the project. The “To Date” will be defaulted even if it is not entered.

Note: This date must be the same as or less than the project effective end date.

Status

From the drop-down list box, select any one of the following options:

·         “Open” indicates the time sheet details can be entered for the specified range of dates.

·         “Closed” indicates that the time sheet entry is closed and no more entries can be posted for the specified range of dates.

Note:

Only one record can be of “Open” status at one instance.

The drop-down list box is loaded with the values defined in the Additional Masters

ØEnter the following field details in “Applicable PO” multiline:

PO

The unique identifier of the purchase order.

Help facility available

From Date

The date from which the purchase order is applicable. This date must be the same as or greater than the project effective start date. The “From Date” will be defaulted even if it is not entered.

To Date

The date until which the purchase order is applicable. This date must be the same as or less than the project effective end date. The “To Date” will be defaulted even if it is not entered.

Planned Effort

The number of estimated in months required to complete the specific project.

Effort UOM

From the drop-down list box, select the required option. The combo is loaded with the values “Months”, “Days” and “Hour” for you to choose. The system displays “Months” by default on launch of the page.

PO Value

The purchase order value.

Remarks

Key in ay remarks or feedback, if any.

The system displays the following in the “Applicable PO” multiline:

Customer Name

The name of the customer.

Billing Basis

The system displays any one of the following basis for billing:

·         “Hourly” indicates that the billing is done on an hourly basis for the project.

·         “Monthly” indicates that the billing is done on a monthly basis for the project.

Currency

The PO currency used for computing the billing amount.

SOW ID

The unique statement of work identifier.

STPI Location

The location of the Software Technology Park of India (STPI).

ØEnter the following field details in “Map Managers to Project” multiline:

Employee Code

The code of the employee. Mandatory.

Help facility available

Employee Name

The name of the employee.

Role

From the drop-down list box, select the required role. The combo is loaded various roles for you to choose. Mandatory.

From Date

The date from which the manager is mapped to the project. This date must be the same as or greater than the project effective start date and the employee joining date. The “From Date” will be defaulted even if it is not entered. Mandatory.

To Date

The date until which the manager is mapped to the project. This date must be the same as or less than the project effective end date. The “To Date” will be defaulted even if it is not entered.

ØClick “Save” pushbutton to save the details entered.

To edit/delete the project details:

Ø Enter the Project ID to be edited/deleted.

Ø Click on the “Get” pushbutton.

The system retrieves the details.

ØTo edit, edit the details and click on the “Save” pushbutton.

Note: You are allowed to edit all the details other than the Project identifier.

ØTo delete the details, click on the “Delete” pushbutton.

Note: Deletion is possible only if the Project ID does not have any time sheet booking.

ØSelect the “Maintain Project Additional Details” link at the bottom of the page to record the additional details of the project.
