Project Based - Add / Edit Time Booking

Ø   Click the date under “Date” column in the “My Timesheet - Project” page to navigate to the “Project based - Add / Edit Time” screen.

As per the week chosen in the L2 screen, the dates are displayed in each tile. The same set of screens are displayed here as in the L2 screen.

The status of the record is indicated with different colored dots:

4    Green dot – Approved

4    Orange dot – Pending for approval

4    Grey dot - Draft

4    Red dot – Rejected record

Note: If there is no record for the day then it will be blank.

Status - The status of the day's record is displayed in appropriate color.

4    Approved – Green Color

4    Draft – Grey color

4    Rejected – Red Color

4    Pending For Approval – Orange Color

The following details are displayed in the header:

Standard Hours

The standard hours for the employee for that day are displayed here.

Time-Off

The total hours booked as time off for that day across all projects. In case time-off hours are not entered for a particular day then the same will be "00.00".

Booked Hours

The total hours booked by the employee for the day across all projects will be displayed here. In case booked hours are not entered for a particular day then the same will be "00.00".

Difference

The difference between Standard hours and Booked hours for that day across all projects. Difference = (Booked hours + Time-off) - Standard hours. If this is positive it is shown in green color. If it is negative it is shown in red color. If there is no difference then "00.00" is shown in black color.

The following details are displayed in the multiline:

Project

This column lists all the projects for which that particular employee has booked time for that day.

Activity – Task

The activity and task that is booked against the respective projects for that day.

Hours

The hours that is booked for that day against the respective project Activity and Task is displayed.

Edit

Ø   Click  icon to navigate to the “Add / Edit – Project Time Booking” pop-up.

Ø   Edit the required details.

Ø   Click “Save” to save the details entered.

Ø   Click “Submit” to submit the record for final approval.

Delete

Ø   Click  icon against any row in the multiline. The data gets deleted successfully.

Note:

4    When  icon is clicked, against an entry in the multiline, a message to confirm the delete action appears. If "Ok" is selected, the record gets deleted. If "Cancel" is selected then it will navigate to the previous screen.

4    The  icon is disabled for projects where the time booked has been authorized or which are in PFA status.

Ø   Click “Save” to save the details entered in draft status.

On click of “Save” button, the data will get saved successfully and turns into draft status.

 

 

Book Time                      

Ø   Click “Book Time” button to navigate to the “Add / Edit – Project Time Booking” pop-up.

The following details are displayed in the header:

Hours Booked so far

When the user enters the time, on click of save/submit, the callout refreshes and the hours booked will be displayed here. When the user clicks on “Book Time” button for the first time, the callout launches and this field will be blank.

Note:

4    Every time the user enters entry and click on ‘Save’, the screen will refresh and the cumulative hours booked for the day will be displayed here. On every save the screen will refresh displaying hours booked. .

Date

The date that is highlighted in carousel is displayed here.

Ø   Enter the following field details:

Project

From the drop-down list box, select the required project. The combo is loaded with various projects.

Note: If the employee on the selected date is associated to only one project in employee Project Assignment, then the combo is defaulted with that project. If he is associated to more than one project, then the combo is defaulted with ‘Select’.

Activity

From the drop-down list box, select the required activity. The combo is loaded with various activities.

Note:

4    If the employee on the selected date is associated to only one project and one activity in Employee Activity Task Mapping, then the combo is defaulted with that activity. If the employee is associated to more than one project or more than one activity in the same project then the combo is defaulted with ‘Select’.

4    The combo is loaded with activities associated to the employee on the selected date from Employee Activity Task Mapping. If there is only one project then project related activities are loaded. If not it is loaded on select of project.

4    When the user selects an activity, the tasks associated with the project activity on the selected date from Employee Activity Task Mapping is loaded. If there is only one task associated with the activity, then the task is loaded with only that value.

Task

From the drop-down list box, select the required task.

Note:

4    If the employee on the selected date is associated to only one project, one activity and one task, in Employee Activity Task Mapping, then the combo is defaulted with that task. If the employee is associated to more than one project or more than one activity in the same project, or more than one task in the same activity then it is defaulted with ‘Select’.

4    The combo is loaded with tasks associated with the project activity as on the selected date from Employee activity task mapping.

 

Billable

The checkbox is defaulted with tick or untick based on whether the employee hours are billable or not as assigned in Employee Activity Task Mapping. The user is also allowed to select or deselect the billable check box

Hours

Enter the hours in this field.

Note: The hours entered here cannot be negative. Also the hours entered for a day should not exceed 24 hours.

Remarks

Key in any remarks or feedback, if any.

Ø   Click “Save” to save the details entered.

Note:

4   Once the record has been saved successfully, the entry will appear in the main screen. The status dot will appear in grey color before the project.

On every save the screen will refresh displaying hours booked so far for that day. The user will manually close the pop-upin this case.

4    In case where a record has been rejected and then the employee with or without making any changes saves the record, the record will get saved and the status icon will turn into into grey color.

Ø     Click “Submit” to submit the details.

Note: When the employee has already saved a record in draft status, then on click of submit, the records will be submitted. The status icon will turn into orange color.

Once the record is submitted the same cannot be edited
