Creating employee records in bulk
In this page, you can create multiple employee records and update the skill and assignment details for the created records.
Select the “Bulk-Create Employee Records” link under the “Employee Information” business component.
The “Bulk-Create Employee Records” page appears.
The system displays the following field:
Date & Time Format |
The format in which the date and time fields must be entered in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date and time format set for the login organization unit in the “Enterprise Modeling” business component. |
Enter the following in the “Employee Details” multiline:
HR Setup Unit |
Use the drop-down list box to select the HR setup unit applicable to the login employment unit. The system lists all the organization units applicable to the current business component. Do not leave the field blank. |
Employee Code Prefix |
Use the drop-down list box to select the prefix for the employee code. If the “Employee Code Prefix” option is enabled in the “Set Employee Code Options” page of the “Basic HR Setup” activity of the “HR Setup” business component, the system lists all the prefixes defined for the HR setup unit. Else, the system leaves the field blank. If multiple prefixes exist for the HR setup unit, the system leaves the field blank by default. |
Employee Code Manual |
A unique code to identify the employee (Alphanumeric, 20). Entry in this field is mandatory, if the “Employee Code Generation Method” field is set as “Manual” in the “Set Employee Code Options” page of the “Basic HR Setup” activity of the “HR Setup” business component. Leave this field blank, if the “Employee Code Generation Method” field is set as “Automatic”. The length of the employee code must not be greater than the “Length of Employee Code” specified in the “Set Employee Code Options” page of the “Basic HR Setup” activity of the “HR Setup” business component. |
Note: The “Employee Code Prefix”, if selected, will be added to the employee code entered in this field.
Employee Type |
Use the drop-down list box to select the job type of the employee. The system lists all the active quick codes defined for the quick code type “Employee Type” in the “Maintain HR Quick Codes” activity of the “HR Setup” business component. If multiple employee types exist for the HR setup unit, the system leaves the field blank by default. Do not leave the field blank. |
Title |
Use the drop-down list box to select the title that can be used for the employee. The system lists all the active quick codes that are defined for the quick code type “Title” in the “Maintain HR Quick Codes” activity of the “HR Setup” business component. Do not leave the field blank. |
Company |
Use the drop-down list box to select the company to which the employee belongs. The system lists all the company codes defined in the “Maintain Company Information” activity of the “Enterprise Setup” business component. If multiple companies exist for the HR setup unit, the system leaves the field blank by default. Do not leave the field blank. |
First Name |
The first name of the employee (Alphanumeric, 25). Mandatory. |
Middle Name |
The middle name of the employee (Alphanumeric, 25). Mandatory. |
Last Name |
The last name of the employee (Alphanumeric, 25). Mandatory. |
Date of joining |
The date on which the employee joined the organization (Date Format). Mandatory. |
Country |
Use the drop-down list box to select the name of the country to which the employee belongs. The system lists all the quick codes defined for the quick code type “Country” in the “Maintain HR Quick Codes” activity of the “HR Setup” business component. If multiple countries exist for the HR setup unit, the system leaves the field blank by default. Do not leave the field blank by default. |
State |
Use the drop-down list box to select the name of the state to which the employee belongs. The system lists all the states defined for the HR setup unit and the country, in the “Maintain State” activity of the “HR Setup” business component. If multiple states exist for the HR setup unit and country, the system leaves the field blank by default. Do not leave the field blank. |
Date Of Birth |
The date of birth of the employee. Mandatory. Ensure that the age of the employee is greater than 14 years and less than 100 years, as on the current system date. The “Date of Joining” must not be earlier than the “Date of Birth”. |
Gender |
Use the drop-down list box to select the gender of the employee. The system lists all the quick codes defined for the quick code type “Gender” in the “Maintain HR Quick Codes” activity of the “HR Setup” business component. Do not leave the field blank. |
Marital Status |
Use the drop-down list box to select marital status of the employee. The system lists all the quick codes defined for the quick code type “Marital Status” in the “Maintain HR Quick Codes” activity of the “HR Setup” business component. If multiple marital statuses exist for the HR setup unit, the system leaves the field blank by default. Do not leave the field blank. |
Primary Skill # |
The code identifying the primary skill of the employee (Alphanumeric, 10). Mandatory. Ensure that the skill entered here is a valid skill code in “Active” status as defined in the “Maintain Skills” activity of the “HR Setup” business component. Help facility available. |
The system displays the following fields:
Skill |
The textual description of the primary skill. |
Maximum Skill Level |
The maximum skill level that can be possessed by an employee in the HR setup unit. The system retrieves the maximum skill level from the “Set HR Options” page of the “Basic HR Setup” activity of the “HR Setup” business component. |
Enter the following fields:
Possessed Level |
The level to which the employee possesses the specified skill (Integer). Mandatory. The value entered here must be positive. Ensure that the value entered here is not greater than the “Maximum Skill Level”. |
Applicability Resource Group |
Use the drop-down list box to select the resource group for which the skill is applicable. The system lists the options “Mechanic”, “Inspector”, “Both” and "Others". Do not leave the field blank. |
Assignment Type |
Use the drop-down list box to select the type of the assignment undertaken by the employee. The system lists the option “New Hire”. Do not leave the field blank. |
Effective From |
The date from which the employee assignment becomes effective (Date Format). Mandatory. This date must not be earlier than the “Date of Joining”. |
Department Code |
The code identifying the department of the employee (Alphanumeric, 10). Mandatory. The value entered here must be a valid department code in “Active” status as defined in the “Maintain Department” activity of the “HR Setup” business component. Help facility available. |
Job Code |
The code identifying the job of the employee (Alphanumeric, 10). Mandatory. The value entered here must be a valid job code in “Active” status as defined in the “Create Job” activity of the “HR Setup” business component. Help facility available. |

Grade Set |
Use the drop-down list box to select the grade set for the employee. The system lists all the grade sets that are in “Active” status as defined for the HR setup unit and the job code combination in the “Create Job” activity of the “HR Setup” business component. If multiple grade sets exist for the HR setup unit and job code combination, the system leaves the field blank by default. Do not leave the field blank. |
Grade |
Use the drop-down list box to select the grade for the employee. The system lists all the grades that are in “Active” status as defined for the HR setup unit and the job code combination in the “Create Job” activity of the “HR Setup” business component. If multiple grades exist for the HR setup unit and job code combination, the system leaves the field blank by default. Otherwise, the system displays the existing grade by default. Do not leave the field blank. |
User Name |
The login user ID (Alphanumeric, 25). Mandatory. Help facility available. |
Supervisor |
The code identifying the supervisor for the employee (Alphanumeric, 20). Mandatory. The supervisor must be a valid employee code as defined in the current business component. You are also allowed to enter an employee code that is being created in this page. Ensure that the supervisor code and the “Employee Code Manual” are different for a line item. Help facility available. |
Note: Ensure that the “Employee Code Manual” is unique in the multiline.
Click the “Create Employee & Assignment Records” pushbutton to create the employee records and update the skill and assignment details for the employees.
The system performs the following:
If the “Employee Code Generation Method” field is set as “Automatic” in the “Set Employee Code Options” page of the “Basic HR Setup” activity of the “HR Setup” business component, the system generates the employee code by incrementing the latest employee code available for the HR setup unit.
Updates the status of the all the employee records as “Current”.

Select the “Edit Employee Assignment” link at the bottom of the page, for modifying employee assignment details.
Select the “User Employee Mapping” link at the bottom of the page, for mapping users to employees.
Select the “Record Qualification Information” link at the bottom of the page, for recording qualification details for an employee.
Select the “Record Employee Skill Information” link at the bottom of the page, for recording skill details for an employee.
Select the “Record Employee Certificate Information” link at the bottom of the page, for recording employee certificate information.
Select the “Record Employee License Information” link at the bottom of the page, for recording employee license information.
Select the “Record Identification Information” link at the bottom of the page, for recording identification information for an employee.
Select the “Record Information on Family Members” link at the bottom of the page, for recording information on family members of an employee.
Select the “Record Language Proficiency Information” link at the bottom of the page, for recording language proficiency information for an employee.
Select the “Record Contact Information” link at the bottom of the page, for recording contact information for an employee.
