Authorizing the opening balance details
This page allows you to authorize the opening balance document. Tell me more
Select the “Authorize Opening Balance” link under the “Stock Maintenance” business component.
The “Authorize Opening Balance Document” page appears.
The system displays the following:
Date Format |
The format in which the date fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
Enter the following in the “Search Criteria” group box, to search for opening balance documents:
Opening Balance # |
The number identifying the opening balance document to be authorized or cancelled (Alphanumeric, 18). You can enter the opening balance document number in full or specify it partially using the “*” character. The system retrieves all the opening balance documents with numbers that are similar to the number entered here. Leave this field blank to retrieve all the opening balance documents. |
Category |
Use the drop-down list box to specify the category of the opening balance document. The system lists all the “Active” quick codes of type “Category”, as defined in the “Create Quick Codes” activity of the current business component. Leave this field blank to retrieve all the opening balance documents, irrespective of their category. |
User Status |
Use the drop-down list box to specify the user status of the opening balance document. The system lists all the “Active” quick codes of type “User Status”, that are defined in the “Create Quick Codes” activity of the current business component. The system retrieves all the opening balance documents that are in the user-defined status specified here. Leave this field blank to retrieve all the opening balance documents, irrespective of the user status. |
Customer # |
The name of the customer. (Alphanumeric, 18). You can enter the part number in full or specify it partially using the “*” character. The system retrieves all the opening balance documents with customer numbers that are similar to the number entered here. |
Warehouse # |
Use the drop-down list box to specify the warehouse for which the opening balance transactions must be retrieved. The system lists the warehouse numbers that are in the “Active” status, as defined in the “Create Warehouse Information” activity of the “Storage Administration” business component. |
Note: You cannot authorize the opening balance for a warehouse, which is frozen for the “Physical Inventory and Cycle Counting” process. |

Part # |
The number identifying the part for which opening balance details must be retrieved (Alphanumeric, 40). You can enter the part number in full or specify it partially using the “*” character. The system retrieves all the opening balance documents with part numbers that are similar to the number entered here. Leave this field blank to retrieve all the opening balance documents irrespective of the part number. |
Part Group |
Use the drop-down list box to select the part group. The system displays all the valid part groups defined in the “Part Administration” business component. Leave this field blank to retrieve all the opening balance documents, irrespective of the part group. |
Part Category |
Use the drop-down list box to select the part category. The system displays all the “Active” quick codes defined for the part category in the “Part Administration” business component. Leave this field blank to retrieve all the opening balance documents, irrespective of the part category. |
From Date |
The starting date, in the range of dates, from which the opening balance document must be retrieved (Date Format). Ensure that this date is earlier than the system date. |
To Date |
The ending date, in the range of dates, until which the opening balance document must be retrieved (Date Format). Ensure that this date is later than the ”From Date”. |
Click the “Search” pushbutton to retrieve the details in the multiline.
The system displays the following “Search Results” multiline:
Opening Balance # |
The number identifying the opening balance document retrieved by the system. |
Warehouse # |
The number identifying the warehouse. |
Opening Balance Date |
The date on which the opening balance document was created. |
Category |
The category of the opening balance document. |
User Status |
The user defined status of the opening balance document. |
Note: Ensure that atleast one row is selected in the multiline.
Check the box in the multiline, to selectively mark the opening balance document for authorization or cancellation.
To authorize the opening balance details
Click the “Authorize Opening Balance” pushbutton ,to authorize the selected opening balance document.
The system updates the status of the opening balance document to “Confirmed”.
The system ensures the following on clicking the “Authorize Opening Balance” push button
If the storage allocation for the part is mandatory and the warehouse is of type “Normal” and Zone is of type “Free”, then the “Zone “ must not be set as “Exclusive” for any of the other parts.
If the storage allocation for the part is mandatory and the warehouse is of type “Normal” and Zone is of type “Normal”, then the “Bin “ must not be set as “Exclusive” for any of the other parts.
If the storage allocation for the part is mandatory and the warehouse is of type “Normal” and Zone is of type “Free”, then the part will have “Only At” at this zone only.
If the storage allocation for the part is mandatory and the warehouse is of type “Normal” and Zone is of type “Normal”, then the part will not have “Only At” at any other bin.
The system generates component IDs for parts of “Component” type, if
The component ID generation is set as “Automatic” in the “Maintain Maintenance Info for Part” activity of the “Aircraft” business component.
The system validates if the Part Classification is allowed in the warehouse, based on the Part Classification mapped in the “Storage Administration” business component..
Note: If the Part Classification is set as “None” or not defined in the “Part Administration” business component, then the part is classified as Non-Repairable.
For none-controlled parts with customer-owned stock status, the system ensures the following:
The specified warehouse is mapped to the customer entered in the multiline, as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the type of the warehouse is "Free".
The warehouse-zone combination is mapped to the customer as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the type of the warehouse is “Normal” and the type of the zone is “Free".
The warehouse-zone-bin combination is mapped to the customer as an exclusive storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the warehouse and the zone are of type “Normal” and if the bin is specified.
For serial number-controlled, lot number-controlled, or both serial number-controlled and lot number-controlled parts with customer-owned stock status, the system ensures the following:
The specified warehouse is mapped to the customer as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the type of the warehouse is "Free".
The warehouse-zone combination is mapped to the customer as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the type of the warehouse is “Normal” and the type of the zone is “Free".
The warehouse-zone-bin combination is mapped to the customer as exclusive or shared storage category in the “Maintain External Stock Allocation” page of the “Storage Administration” business component, if the warehouse and the zone are of type “Normal” and if the bin is specified.
For lot-controlled, serial-controlled and none-controlled parts with stock status attribute "Ownership-Customer" set as "Yes" in the "User Defined Stock Status" business component, the system updates the customer number as the owner number for the parts and the stock maintenance quantity for the customer.
The system ensures that for each part in the multiline, the “Non-Stockable” field is set as “No” in the interacting “Part Administration” business component.
The system generates an issue document for the part that is added to inventory on authorization of opening balance, if there is “AOG” or “Normal” pending material request for the part, and updates the quantity details in the “Stock Demand Management” business component. If there is a pending material request of “Low” priority for the part, the system replenishes the stock level of the part in the “Stock Maintenance” business component and updates the quantity details in the “Material Request” business component. Status of General/Maintenance stock transfer issues
If the parameter “Confirmation of General Issue generated during Receipt pegging to an Open MR”/”Confirmation of Maintenance Issue generated during Receipt pegging to an Open MR” under the category “Process Automation” in the Set Warehouse Process Parameters activity of the Storage Administration is ‘1’, if the status of General/Maintenance stock issues automatically generated to satisfy the Open General / Maintenance MRs will be in ‘Confirmed’ status. However, parameter “Confirmation of General Issue generated during Receipt pegging to an Open MR”/”Confirmation of Maintenance Issue generated during Receipt pegging to an Open MR” is ‘0’, the status of the stock issue is set as ‘Fresh’.
The system automatically generates the MMD reports for ‘Confirmed’ General/Maintenance issues, if the parameter “Print MMD for General Issue generated in Confirmed status during Receipt pegging to and open MR”/ “Print MMD for Maintenance Issue generated in Confirmed status during Receipt pegging to and open MR” under the category “Stock Management Report” in the Set Inventory Process Parameters is ‘1’.
To modify the details before authorization
Select the “Edit Opening Balance” link at the bottom of the page, if you wish to modify the opening balance details before authorization.
To cancel the opening balance details
Click the “Cancel Opening Balance” pushbutton to cancel the opening balance document.
The status of the document changes to “Canceled”.
Authorizing the opening balance details – An overview
This page allows you to authorize the opening balance document. You can directly enter the opening balance document number, if you are aware of it. Otherwise, you can carry out a search using opening balance document number, type, category, warehouse or user status. Based on the search criteria, the system displays the opening balance details in the multiline. You can simultaneously select multiple documents and authorize them in bulk.
For a serial controlled part, if “Sl No. Logic” is set as “Automatic Generation” in the “Create Parts Main Information” activity of the “Part Administration” business component, the internal serial number will be automatically generated by the system according to the numbering type specified. If the “Sl No Logic“ is specified as “Manufacturer Sl No” then the Manufacturer Serial Number entered by you will be stored as the Internal Serial Number.
For a lot controlled part, the Internal lot number of the part will be generated according to the Numbering Type set in the Document Numbering Class component.

You can authorize the opening balance documents listed in the multiline.
Enter the filter criteria to search for opening balance documents to be authorized.
Based on the search criteria, the system lists the documents in the “Search Results” multiline.
Check the box in the “Select” column of the multiline to select the opening balance documents.
Click the “Authorize Opening Balance” pushbutton.
The status of the authorized documents changes to “Confirmed”.
Cancel opening balance documents
You can cancel the opening balance document in this page.
Check the box in the “Select” column of the multiline to select the opening balance document to be cancelled.
Click the “Cancel Opening Balance Document” pushbutton.
The status of the opening balance document changes to “Cancelled”.
