Cycle Count Sheet (CCS) is a physical document that contains the items to be counted and their location in the warehouse.  Tell me more

The “Create Cycle Count Sheet On Plan Basis” page appears.

The system displays the following fields in the “Sheet Details” group box:

CC Sheet #

The number identifying the cycle count sheet. The system automatically generates this number on clicking the “Create CC Sheet” pushbutton, based on the numbering type selected.

Numbering Type

Use the drop-down list box to select the numbering type to be used by the system for generating the cycle count sheet number. Mandatory. The system lists all the numbering types defined in the “Create Numbering Type” activity of the “Document Numbering Class” business component that are valid on the current date. By default, the system sets the field to the numbering type specified as default for the “Cycle Count Sheet” transaction type.

Note: You must not select a numbering type that is mapped to a group company, if the CC sheet is being created for the login company.

However, if you are creating the CC sheet for a warehouse exclusively mapped to a group company and, if "Separate Numbering Type for Trading Partner Transactions" between the login company and the group company is ‘1’ in the Maintain Options for Partner Transactions activity of Organization Setup, the system automatically generates the CC sheet# on creation based on the numbering type set for the Cycle Count Sheet transaction between these companies in the same activity. If "Separate Numbering Type for Trading Partner Transactions" is set as ‘0’, you can select the numbering type for CC sheet #.

Sheet Description

The textual description of the cycle count sheet (Alphanumeric, 150). Mandatory.

 

The system displays the following field:

 

Status

The status of the cycle count sheet, which could be one of the following

  • Draft - The status of the cycle count sheet on clicking the “Create Count Sheet” pushbutton.

  • Confirmed - The status of the cycle count sheet on clicking the “Confirm Count Sheet” pushbutton.

 

  • Enter the following fields:

OverDue Date

The date on which on which the cycle counting is due for the part. (Date Format).  Ensure that this date is equal to or later than the current server date.

Note: The overdue date for cycle counting is mandatory for the part, if the process parameter “OverDue Date for cycle count sheet based on plan” is set as ‘1’ in the “Set Inventory Process Parameter” activity of the Logistics Common Master component. In addition, the system sets the overdue date to the current system date by default, if this process parameter is set as ‘1’. Conversely, if this process parameter is set as ‘0’, the overdue date field becomes a non-mandatory field.

User Status

Use the drop-down list box to assign a user-defined status for the CC sheet. The system lists all the “Active” quick codes defined for the user status in the “Create Quick Codes” activity of the current business component.  The system sets the field blank by default.

The system displays the following fields:

CC Plan #

The number that identifies the CC plan for which the CC sheet is created.

Plan Description

The textual description of the CC plan.

Warehouse #

The warehouse for which the CC plan was generated.

Warehouse Description

The textual description of the warehouse.

WH – Zone #

The number that identifies the zone for which the CC plan was generated.

Zone Description

The textual description of the zone.

System Quantity Display

Use the drop-down list box to indicate whether to show or hide the system quantity of parts while entering the count results. The system provides the options “Show System Quantity” and “Do not show System Quantity”. The system sets the field to “Do not show System Quantity” by default.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set as “Yes”. Otherwise, the system sets this field to the option selected in the “System Quantity Display” field of the “Set Cycle Count Options” activity of the current business component.

Recount Mandatory

Use the drop-down list box to indicate whether recount is mandatory or not. The system provides the options “Required” and “Not Required”. The system displays “Required” by default.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set as “Yes”. Otherwise, the system sets this field to the option selected in the “Recount Mandatory” field of the “Set Cycle Count Options” activity of the current business component.

Count Date

The date on which the cycle counting is done for the parts (Date Format). Mandatory. Ensure this date is equal to or later than the current server date. The system sets the current server date by default.

Zero Qty Parts

Use the drop-down list box to indicate whether to include or exclude zero quantity stock in the counting cycle. Select

  • ‘Include’, to include parts with Zero quantity stock in the CC Sheet. However, if Serial-Controlled parts of which the entire quantity was transferred to other warehouses since the creation of CC plan, these parts would lose the warehouse identity and only the last transferred Serial # will be retrieved into CC Sheet. Hence, to account for all serial #s, the system retrieves Serial-Controlled parts consumed in a specific time horizon. (Note: The consumption period for including Zero Quantity stock can be defined in the “Set Options for Cycle Count” activity. This option will retrieve parts with Zero Quantity stock, if consumed in the defined consumption period.)

  • ’Exclude’ to exclude parts with zero quantity stocks from the CC sheet.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set as “Yes”. Otherwise, the system sets the field to the option selected in the “Zero Qty Parts” field of the “Set Cycle Count Options” activity of the current business component.

The system displays the following fields in the “Other Details” group box:

Class

The class to which the CC sheet belongs.

Part Type

The type of the part for which the CC sheet is generated.

Part Group

The part group of the part for which the CC sheet is generated.

Part Category

The category of the part for which the CC sheet is generated.

# of Parts in CC Plan

The total number of parts present in the CC Plan for cycle counting.

# of Parts Pending

The number of parts that are pending for cycle counting in the CC Plan.

# of Parts for CC Sheet

The number of parts for cycle counting in the CC Sheet.

Ensure that the value entered is a positive and whole number.

% of Parts for CC Sheet

The percentage of parts for cycle counting in the CC Sheet.

Ensure that the value entered is a positive, whole number and is between 1 and 100.

Exclude Counted Parts

Select the checkbox to exclude the counted parts from the CC Plan.

 

Zone #

The zone for which the CC Plan was generated.

Help facility available.

Bin #

The bin for which the CC Plan was generated.

The system performs the following:

Note: When the "Exclude Counted Parts" check box is not selected, on entering the value in the "% of Parts for CC sheet" will account the number of part percentage from the "# of parts in CC plan” in full figures.

When the "Exclude Counted Parts" check box is selected, on entering the value in the "% of Parts for CC sheet" will account the number of part percentage from the "# of parts pending” in full figures.

The system validates the following:

The system ensures that either "# of Parts for CC sheet" or "% of Parts for CC sheet" is entered.

The “Part Details” multiline displays the following data.

Line #

The line number generated by the system for the part in the CC sheet.

Part #

The number that identifies the part to be included in the CC sheet.

Part Description

The textual description of the part.

Class

The class to which the part belongs, which could be “A”, “B”, “C” or “V”, “E”, “D”

Count Interval (Days)

The number of days after which the cycle counting is repeated for the class of a part. The part could be classified as “A”, “B”, “C” or “V”, “E”, “D” based on the classification method  (“ABC” or “VED”) set in the “Set Cycle Count Options” activity of the current business component.

Last Counted On

The date on which the part was last counted.

Next Due On

The date on which the part will be due for the next counting.

Stock Status

The user-defined stock status of the part.

System Quantity

The quantity of parts available as per the system inventory records.

Stock UOM

The unit of measurement for the parts.

Zone # - Bin #

The number that identifies the zone-bin for the Part- Stock status combination which is to be included in the CC sheet.

To view subsequent set of records

For example if there exists 200 records, and if records 1-100 are currently displayed in the multiline, then on clicking the “Next” pushbutton the system displays the next set of records i.e. records 101-200 in the multiline.

Similarly if records 101-200 are currently displayed in the multilane, then on clicking the “Previous” pushbutton the system displays the previous set of records i.e. records 1-100 in the multiline.

To create cycle count sheet

The system creates the CC sheet, generates the CC sheet number based on the numbering type selected and updates the status as “Draft”. On successful creation, the system freezes the parts listed in the CC sheet.

To confirm cycle count sheet

The system updates the cycle count sheet to “Confirmed” and displays the same in the “Status” field in the “Sheet Details” group box.

Note: The system on confirmation of the cycle count sheet freezes the parts (Warehouse # - Part # -Stock status) based on the process parameter "Freeze storage area on confirmation of CC Sheet?" in the “Set Inventory Process Parameters” screen of the “Logistics common master” business component.

  1. If the Process parameter is set as '1' (Yes) or 'Blank', then the system freezes the parts based on the current behavior. Transaction (Issues / Receipts) will be restricted.

  2. If the Process parameter is set as '0' (No), then the system will not freeze the stock (Warehouse - Part - Stock status) and any transactions like Issues and receipts etc. will be allowed.

Note: Only cycle count sheets that are in “Draft” status can be confirmed.

Creating a cycle count sheet on CC plan basis – An overview

Create Cycle Count Sheet on plan basis - A summary of the activity

Cycle Count Sheet (CCS) is a physical document that contains the items to be counted and their location in the warehouse. A CCS can be generated on “Plan Basis” or “Overdue Basis”. In this page, you can create CC sheet on “Plan Basis”, in which all the parts associated with the CC sheet are from the selected CC plan. You can create a CC sheet only from a CC plan, which is in the “Authorized” status.

When the CC sheet is created, the system sets the status as “Draft”. When a CC sheet is confirmed, the items listed in the sheet are ‘frozen’. No transactions are possible on these items till reconciliation is completed, that is, till the count results are authorized.
